Main duties of the job
A GP Receptionist is the first point of contact for patients and plays a key role in the smooth running of a GP practice. They welcome patients, manage appointments, answer telephone enquiries, process requests, maintain accurate patient records, and provide administrative support to the clinical team. The role requires excellent communication, organisation, and customer service skills, helping patients access the care they need while ensuring a positive experience at the practice.

Job responsibilities
Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
- Deal with all general enquiries, explain procedures and make new and follow-up appointments via telephone, digital software or email
- Care navigate patients to local services where appropriate and record in medical record.
- Using guidance provided and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner with use of appropriate information gathering.
- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits onto the appointment system, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
- Register new patients
- Relay messages to appropriate departments using the clinical system
- Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter and update patient information on to the computer record
- Ensure the practice is opened and closed in a timely manner adhering to process
- Relay results accurately according to clinicians instructions
- Action tasks in a timely manner
- Action clinical workflow via EMIS accurately according to clinicians instructions
- Administer RIP notifications according to process
- Administer DN referrals
- Monitor and action where appropriate all emails within the generic email folder adhering to the monitoring of this resource between 8 am and 6.30 pm.
- Processing repeat prescriptions in accordance with Practice guidelines
- Ensure all new medical records received are actioned and recorded appropriately
Undertake any other additional duties appropriate to the post as requested by the Partners or management team
