Main duties of the job

To provide a comprehensive administration and clerical service to the reception team at Victoria Infirmary, you will rotate working at the Main Reception desk, our new Surgical Centre reception or the Verdin House reception .  A key requirement of the post is to welcome and receive patients/relatives/carers and other visitors into the hospital and maintain the preparation and flow of patient data/information, hard copy or electronic, ensuring that all data/information is maintained to the agreed quality standard.  The post holder will be expected to organise their own workload in order to maintain an efficient and professional service, working in a small and dedicated team.  Your working days will be Monday to Friday each week, some shifts require a start time of 7.30am.  Normal working shifts commence at 8am when the hospital opens.  You may occasionally be asked to swap your working day/hours due to operational issues and this may include very occasional weekend working  and/or late nights, in which case, enhanced rates apply.

Detailed job description and main responsibilities

  • Provide an efficient reception service, greeting and booking in patients efficiently at our new Surgical Centre, the Main Reception Desk and Verdin House reception, dealing with the general public and helping and assisting visitors as they arrive on site; dealing with enquiries from staff and patients promptly, taking action as necessary and directing patients/relatives and carers accordingly.
  • Provide a comprehensive clerical service to the Central Management Team undertaking all relevant work-related tasks including retrieval, preparation and filing of patient information/data, arranging patient transport, booking in patients,  dealing with appropriate correspondence, photocopying, emailing, distributing reports, accurately scanning in documentation to the new DCS system where appropriate.
  • Maintain systems and processes to ensure that patient information/data is available at the right time, that they are in the right place, and that they are complete and accurate according to the agreed quality standard.
  • Update patient information/data when patients have been seen, according to the agreed quality standard, locate and retrieve supplementary documentation for patient information/data as required, filing / scanning reports and essential documents in the appropriate places.
  • Be able to use the required electronic systems for correspondence, clinic management and the retrieval of information as and when required.
  • Maintain professional and constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of services to patients as well as working within an established team of receptionists.
  • Support patient screening processes in line with IPC guidance.
  • Working as part of a small, professional and friendly team and be flexible to the needs of the service.
