Job overview

The Cardio-Respiratory department are looking for a friendly, hardworking and motivated team player to join our small but busy receptionist team at Leighton Hospital.

The successful candidate will have excellent communication and problem solving skills and ideally, a background in administration or customer services. Key requirements of this role are to welcome and receive patients/relatives/carers and other visitors into the Cardio-Respiratory department, maintaining patient flow and processing data to an agreed quality standard.

The post holder will be expected to organise their own workload in order to maintain an efficient and professional service and must demonstrate excellent interpersonal and IT skills.

Main duties of the job

To support efficient operational day-to-day running of the department.

Meet and greet patients/carers/relatives and other visitors to the Cardio-Respiratory department in a polite, friendly and professional manner.

Process patient appointments on arrival, ensuring all demographic and appointment details are correct.

Utilise Trust digital systems and other applications required to support the patient pathway.

Liaise with the physiology team within the department ensuring effective communication is maintained at all times.

Deal with enquiries either face to face or over the telephone promptly and efficiently.

Working days will be Monday, Tuesday and Saturday each week with a start time of 8.30am. You may occasionally be asked to swap your working day/hours due to operational issues.

Detailed job description and main responsibilities

  • Provide an efficient reception service, greeting and booking in patients efficiently, dealing with the general public and assisting visitors as they arrive.
  • Deal with enquiries from staff and patients promptly, taking action as necessary and directing patients/relatives and carers accordingly.
  • Maintain systems and processes to ensure that patient information/data is available at the right time, that they are in the right place, and that they are complete and accurate according to the agreed quality standard.
  • Update patient information/data when patients have been seen, according to the agreed quality standard, locate and retrieve supplementary documentation for patient information/data as required, filing / scanning reports and essential documents in the appropriate places.
  • Demonstrate proficient use of the required electronic systems for correspondence, clinic management and the retrieval of information as and when required.
  • Maintain professional and constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of services to patients as well as working within an established team of receptionists.
  • Support patient screening processes in line with IPC guidance.
  • Working as part of a small, professional and friendly team and be flexible to the needs of the service.
