We are looking to recruit a highly motivated, reliable, enthusiastic Band 3 Booking Coordinator. This is a multi-skilled and busy role, with frequent requirements for concentration, where the work pattern can be unpredictable, with regular interruptions. Handling of complex and sensitive information and the need for confidentiality is integral to the post.
The post holder will be required to ensure that they provide a patient centred approach at every stage of the patient journey and ensure potential breaches of RTT (referral to treatment) waiting times are avoided or escalated to the relevant manager. Applicants will need to be a good team player, as well as able to work independently. They will need to be flexible and able to use their own initiative, working proactively with colleagues to ensure waiting time targets are achieved. The post holder will be responsible for prioritising their own workload and ensuring data quality and customer service are delivered to a consistently high standard. You will form part of a small, but very friendly admin team, carrying out clerical duties within laid down guidelines, meeting deadlines and targets as specified.
Main duties of the job
No two days are the same! The small, but friendly team, cover a large variety of roles, including, but not limited to:
- Reception duties
- Manning incoming calls and answering email enquiries
- Accepting and processing new referrals
- Managing vetting lists
- Booking appointments in line with recommended guidelines – including more complex bookings involving coordination with other departments
- Liaising with referrers for additional information prior to processing booking
- Liaising with patients to discuss their booking and giving relevant guidance
- Directly supporting the Business Support Manager and Admin Team Lead with general administrative duties
- Closely monitoring RTT to ensure that targets are met
This post is offered as a permanent post at 34.5 hours per week, flexible working between the hours of 08:00 –20:00 - 7 days per week.

Essential
- Experience in office administration
- Experience managing multiple systems
- Working independently to deadlines and targets
- Understanding Data Protection/GDPR/Confidentiality
- High standard of literacy and numeracy
- Excellent communication skills - focusing on an MDT approach
- Organisational skills and ability to prioritise workload
- Accuracy and attention to detail
- Knowledge or Radiology IT systems
