An excellent opportunity has arisen for someone to join our pharmacy administration team, based in Gosforth, Newcastle.  We are seeking an experienced, motivated, efficient administration officer who has previous experience of working in an administrative role, with excellent typing and IT skills.

The pharmacy service is delivered across four sites in Morpeth, Newcastle, Sunderland and North Cumbria providing essential support across the Trust.

The post holder will work as part of the pharmacy administration team to support the administration requirements of the Pharmacy service and department.

This is a varied role requiring good organisational, communication and problem-solving skills. In addition, you will be required to work flexibly, prioritise demands and respond to a constantly changing workload.

The post holder must meet all of the essential criteria for this post.

Please note as this role is Trustwide, the successful candidate travel to the various departments across the Trust maybe required.

Main duties of the job

Duties of the role will vary, some of the main duties will include:

  • Monitoring and managing pharmacy controlled stationery including issuing, receipting, investigating discrepancies and reporting as required
  • Ordering stock and non-stock items, managing stock levels and identifying the most cost-effective items to meet the needs of the pharmacy department
  • Facilitating departmental meetings, including arranging invitations, agenda setting, action plan management and minute taking
  • Supporting Pharmacy team with all aspects of administration
  • Supporting with Trust wide and departmental audits

Skills and Competencies

Essential

  • Excellent communication and interpersonal skills, both written and verbal
  • Able to prioritise and plan own workload
  • Good organisational and planning skills

Desirable

  • Audio-typing skills
  • Short hand or note taking skills

Know;edge and Experience

Essential

  • Working knowledge of Microsoft applications including e-mail communication
  • Previous secretarial/ clerical experience

Desirable

  • Knowledge of NHS Trust Policies and Procedures
  • Experience using stock ordering systems and petty cash
  • Experience in managing and maintaining office systems
  • Experience of pharmacy operating systems

ducation and Qualification

Essential

  • General education to GCSE or equivalent, NVQ level 2 in Business Administration
  • Word processing skills, RSA level III qualification or equivalent

Desirable

  • NVQ Level 3 Business Administration or equivalent
