Job overview

The post holder will play a vital role in supporting the delivery of high-quality patient care through proactive administrative and clerical support, alongside a strong commitment to continuous service improvement.

Working within a specialty clinical team, they will act as a key point of contact for all administrative aspects of patients’ pathways, ensuring patients are effectively tracked and supported from referral through to treatment and/or discharge. They will take a proactive approach to managing pathways, identifying potential delays early and taking appropriate action to maintain patient flow.

The post holder will deliver a patient-focused service, working in close collaboration with clinicians to coordinate efficient and integrated care pathways. This will include optimising the use of resources and ensuring patients are treated in the right place, by the right clinician, at the right time.

A core element of the role is the active management of paediatric patient pathways in line with RTT principles and 18-week targets, including expediting pathways and ensuring cancellations are promptly and appropriately rescheduled.

The post holder will work collaboratively with multidisciplinary teams, provide cross-cover during team absences, attend regular meetings, and deliver comprehensive administrative support to consultants, including the effective coordination of clinical timetables.

  • Coordinate and manage patient pathways, ensuring patients are scheduled for outpatient appointments, pre-admission clinics, diagnostics, and treatments in line with national waiting time targets and Trust policies.
  • Act as a key administrative point of contact, supporting patients from referral through to treatment and/or discharge.
  • Schedule and monitor appointments in line with RTT standards, proactively identifying and addressing delays, and ensuring cancellations are promptly rescheduled and recorded.
  • Provide comprehensive administrative support to consultants, including the effective management of clinical diaries, timetables, and clinic utilisation.
  • Maintain accurate and up-to-date patient records on PAS systems, ensuring all referral, waiting list, and demographic information is recorded correctly.
  • Ensure patients receive clear, timely communication regarding appointments, including the preparation and amendment of correspondence and patient information.
  • Work collaboratively with consultants, MDTs, and operational teams, attending meetings and contributing to efficient service delivery.
  • Provide cross-cover within the administrative team during periods of absence to maintain continuity of service.

Person specification

Knowledge

Essential

  • Knowledge of NHS service provision including the pathway of care
  • Knowledge of databases, spreadsheets e.g. iClip, Excel or similar applications

Desirable

  • Knowledge of performance tracking

Experience

Essential

  • Experience of using a full range of IT/Patient administration systems
  • Experience of patient administration work in a healthcare setting

Desirable

  • A minimum of one year’s experience working in a similar role in a hospital/health care setting.

Qualifications

Essential

  • 5 GCSE’s or equivalent including English and Maths at grade C or above.

Desirable

  • ECDL or NVQ or working towards NVQ or equivalent.
