An exciting opportunity has arisen for an experienced administrator to join us at Chelston Hall Surgery in Torquay. We are looking for an enthusiastic, dedicated, and highly motivated individual to join our forward-thinking, dynamic team at Chelston Hall. Our team is committed to enhancing our philosophy of integrated multi-disciplinary working within a friendly practice serving a local community of approximately 18,500 patients. The role involves responsibilities such as patient registrations, handling queries, sorting mail, scanning medical records, and providing admin support for the Flu team. We value employees who are capable of delivering great primary care by improving patient experience, access, and outcomes. We expect proficiency in customer care, basic computer skills, and the ability to work accurately under strict deadlines among other qualifications.

Main Responsibilities:

As a valued member of the Operose Health team, your key duties will include:

  • Responsibility for patient registrations and deductions
  • Receiving incoming telephone calls for general enquiry line during sickness or annual leave cover
  • Actioning/chasing up queries and passing on calls
  • Open and sort daily post (internal and external)
  • Scanning of medical records
  • Assistance with COVID vaccination administration
  • Admin support for the Flu team during flu season
  • Responding to patient emails and taking action when required
  • Flexible cover for sick/annual leave e.g on reception
  • Queries and applications for online services
  • Dealing with online consultations, including replies and follow up
  • Processing of BP monitoring forms.
  • Process GP to GP electronic medical records
  • Attach clinical letters to patient records and follow up on any action required
  • Medical record summarisation
  • Coding hospital letters.

  • Must have basic PC skills such as Word, Excel and email.
  • Able to work within processes, procedures and maintain confidently and data security.
  • Previous experience of working in the NHS is welcome but not essential.
  • Able to work to strict deadlines
  • Ability to work accurately and concisely with attention to detail
  • A pleasant and calm telephone manner
