Job summary
We are looking to expend our Patient advisor team and are hoping to recruit a team member to join our friendly and experienced team.
This role will cover a 2 week shift pattern working full time, Monday to Friday:
On Week 1 8am-4pm and then Week 2 10.30am-6.30pm
You will help patients with their queries via telephone or in person and work as part of a large administrative team.
Main duties of the job
Job responsibilities:
Telephony, Appointments and General Duties
- Receive telephone calls, ensuring accurate documentation of requests from patients for appointments and general enquiries.
- Provide a full reception service across all sites, greeting patients, providing information, receiving samples and booking these in, signposting and answering general queries.
- Record visits accurately on telephone triage screen and ensure the allocated visiting Doctor receives these requests in person or by phone.
- Process Klinik Forms received from patients, directing to the appropriate staff member/clinician in accordance with practice policy.
- Ensure total familiarity with all appointment systems including regular and incidental variations.
- Book appointments and recalls ensuring sufficient information is recorded to enable retrieval of the medical record.
- Use the Office computer system to access patient details and where necessary contact patients / authorised personnel as required ensuring all actions are documented.
- Record and relay messages to other members of the Practice Team.
- Action requests to other healthcare professionals / organisations (photocopying details where appropriate).
- At the clinicians request liaise with other agencies on behalf of the Doctors.
- Order transport via the Ambulance Service as requested by the clinical teams
- Maintain a clean and tidy workplace, including computer / telephone hygiene.
About us
We are a semi-rural practice based in Bodmin but covering rural areas within a 10 mile radius of the town. We are a large friendly team, and operate over 5 sites (3 clinical and 2 admin). We are part of the 3 Harbours and Bosvena Primary Care Network, and work closely with our neighbouring practices. We are a training practice and look to support Medical Students, Nursing and other students alongside hosting GP registrars. We have an open-learning culture and have a monthly Practice Learning Session for protected time to support staff, development, learning and well being.

Management of medical records / patient registrations
- Registration Clerk: duties to include obtaining and documenting full details of patients requesting to register in conjunction with the NHS England Patient Registration Standard Operating Principals for Primary Medical Care (General Practice), this may include permanent, temporary, and immediate and necessary patients plus private patients as required.
Document scanning
Scanning Documents into patients records using standard practice procedures - as needed
Administrative support
Provide administrative support to members of the primary health care team in the following areas as required ensuring appropriate practice records are kept up to date.
- Opening & closure of Practice premises ensuring security at all times - including operation of alarm.
- Taking minutes at meetings as required and producing these minutes in an appropriate electronic format.
