Job overview

We are seeking an enthusiastic and highly organised Maternity Patient Administrator to join our maternity team. The Maternity Patient Administrator is the first point of contact for women, birthing people, their family and visitors attending the Trust via the Maternity Reception entrance and is expected to demonstrate a high level of professionalism, care, courtesy and respect when greeting patients. Working in a busy environment, Maternity Patient Administrator will manage the administrative processes to support the effective running of the Maternity Services as part of a Night rota, including bank holidays.

Main duties of the job

The post holder will contribute to the delivery of high quality, safe and compassionate healthcare to patients by providing an administrative service focused on the patient and their individual needs. The Patient Administrator will provide effective and efficient administrative support to a team liaising with patients, doctors and other healthcare professionals. The staff member will work consistently to provide high quality customer service and will be professional at all times.

  • Provide a professional and welcoming first point of contact for patients, families, and visitors attending the maternity unit.
  • Manage patient appointments and referrals, ensuring accurate booking and scheduling in line with NHS guidelines.
  • Maintain and update patient records using the hospital’s digital systems (e.g., Cerner, BadgerNet, or similar maternity systems).
  • Support the midwifery team with administrative tasks such as data entry, scanning, filing, and document preparation.
  • Ensure accurate and timely registration of births in accordance with NHS and legal requirements.

Experience

Essential

  • Experience of working in an administrative capacity
  • Experience in working as part of a team
  • Proven experience of dealing with complex telephone calls

Desirable

  • Working in NHS or other health environment
  • Experience of working as a Receptionist or of direct communication with service users and their families

Skills and Knowledge

Essential

  • Competent working knowledge of windows based computer systems
  • Excellent communication skills both written and verbal
  • Ability to prioritise and organise work load
  • Ability to use own initiative
  • To be able to work as part of a team
  • Able to file accurately and pay attention to detail

Education and Qualification

Essential

  • GCSE English and Maths or equivalent
  • NVQ 2 in office administration or equivalent experience
