Job overview

We are seeking to recruit a full time, fixed term Inpatient Booking Clerk to join the Metabolic Booking Team.

The post holder will be involved in maintaining the delivery of the in-patient pathway of the Stage of Treatment, and Referral to Treatment Target (RTT) in line with national targets.

This will be achieved through the booking of the Metabolic Nurse's Infusion lists and management of their waiting lists, with the recording of all necessary information on the Trust Patient Administration System.  The post holder will also be expected to carry out other clerical duties involved as deemed necessary.

Applicants must be educated to GCSE level or equivalent.  Experience of working in a busy office environment and using computers is essential. Experience of using PAS is desirable but training in the use of necessary computer systems will be provided.

Under current Home Office Immigration Rules, this role does not meet the UK Visas and Immigration criteria and the position is not therefore eligible for skilled worker sponsorship. Applications from candidates that require skilled worker sponsorship will NOT be shortlisted.

Main duties of the job

To manage and co-ordinate the inpatient pathway from the decision to admit to the day of admission. Maintaining a clear and robust inpatient waiting list, monitoring suspension/deferrals and ensuring capacity to treat all patients on the waiting list is available, working closely with the Team Leader and Assistant Service Manager.

Detailed job description and main responsibilities

  • The post holder must manage the inpatient and day cases waiting lists for the Metabolic Service in accordance with NHS Access Targets and the Trust’s Access Policy. 2. Assigned to the Metabolic Service but will provide support and cover during periods of leave for colleagues. 3. Add patients to the inpatient waiting list from outpatient appointment and when decision to admit is made ensuring all information is entered on to the Careflow system. 4. Agree a date of admission according to the waiting times set out by relevant national directive. 5. Amendments of clinic slots 6. Ensure all relevant documentation is present in the Health Care Records and all systems are updated. 7. Liaise with Team Leader regularly to receive updates on waiting times and discuss and make recommendations to improve waiting list management. 8. Ensure that patients receive all the relevant documentation pertaining to their admissions. 9. Plan and liaise with the Metabolic Nurses regarding admissions 10. Whilst arranging admission dates using knowledge of infusion list capacity, plan infusion lists. 11. Re-arrange cancellations where appropriate ensuring full utilisation of the infusion lists 12. Provide information for clinicians regarding their waiting lists. 13. Provide a high level of customer care exchanging information with patients and staff regarding admission processes and procedures. 14. Liaise with Team Lead and Assistant Service Manager to ensure all lists are utilised and planned efficiently. 15. To deal with queries from patients, medical and nursing staff in a diplomatic and sympathetic manner. 16. Participate in new staff training within the Department. 17. Maintain PAS details and update patient details. 18. Provide support to the Service Manager, Assistant Service Manager and Team Leader. 19. Ability to exercise initiative, have an independent judgement and decision making with situations arising as regards bookings 20. To Facilitate in service improvement to streamline a patient’s journey and to ensure that the Trust delivers a quality service and gold standard of patient care.
