Job summary
An exciting opportunity has arisen for a motivated individual to join Lakeside Surgery as a Medical Secretary. We are looking for an enthusiastic person to join our small, friendly team to provide an efficient administrative service to our GPs and Practice Management. You will work alongside the existing administrative and clinical team to provide comprehensive, efficient typing and administration duties. You will need to be a highly motivated and flexible team player with excellent organisational and communication skills. The ability to work under pressure and effectively prioritise your own workload is essential. You must have the ability to multi-task and work in a busy, ever-changing environment. You will be able to work on your own initiative as well as within a team, with well-developed communication and interpersonal skills.
Main duties of the job
Processing all referrals, nhs and private in a timely manner. Completion of insurance reports, copying medical record for SARS requests.

Job responsibilities
Process referrals done by members of the clinical team using Electronic Referral System (ERS) and accenda Gateway.Liaising with external agencies such as hospitals and community services to ensure referrals are processed efficiently and correspondence communicated in both directions
Manage a variety of enquiries from the wider practice team and patientsUpdate and maintain electronic referral templates and standard letters
To provide an efficient typing and word processing service for Doctors and Health Professionals. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner
To assist the practice management team with all clerical and administrative duties To retrieve medical records, as necessary, and process private reports
File patient records and correspondence in patient medical records, as necessary and add Snomed codes
To receive incoming, and initiate outgoing telephone calls, in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
To assist with the gathering of statistics and information when required which may include carrying out searches
To arrange and attend meetings, take minutes as requiredTo monitor the practice shared emails inboxes
To monitor worklists on ERS
To monitor and process the workflow/tasks inboxes aligned with the role
To apply practice policies, standards and guidance and amend if requested
Any other responsibilities that may be relevant to the role of Secretary / Administrator.
