Medical Secretary - Pain Management

Permanent, part time, 35 hours/week.

The Pain Management department at Dudley Group of Hospitals are looking to recruit a Medical Secretary to help manage the workload of the Consultants, Advanced Allied Health Professionals, Clinical Nurse Specialists and supporting teams within their department.

This role will work collaboratively with other Medical Secretary colleagues to ensure clinical correspondence is produced and distributed within designated timescales. The post holder will carry out their duties in such a way to make a direct positive contribution to the organisation. It is essential that the post holder should exercise initiative commensurate with the role and that confidentiality be maintained at all times.

Main duties of the job

  • Deal with new referral letters and action as appropriate
  • Ensure typing of clinical letters in a timely manner
  • Be the main point of contact for patients, colleagues and other healthcare professionals on behalf of your consultant/s
  • Assist in the planning and organisation of clinical activity (out-patient clinics and interventional lists) by liaising with the appropriate members of staff within the Trust
  • Assist in the collation of information for reports, for example medical reports, risk and complaint management etc.
  • Planning and organising a number of conflicting tasks and priorities at the same time still meeting challenging deadlines.
  • Prioritise workload independently, identifying urgency, highlighting problems and taking appropriate action to prevent or solve problems without supervision.
  • Maintenance of medical records
  • Maintenance of individual filing systems on behalf of the consultant and their team
  • Ensure adequate tracking of medical records both in and out of department

Person specification

Experience

Essential

  • Previous experience as a Medical Secretary (or equivalent) including Word Processing
  • Knowledge of NHS Administration procedures and medical terminology
  • Proficient in the use of Microsoft Office Programmes including: Outlook, Word and Excel

Desirable

  • Proficient in use of Patient Administration System (Oasis)

Communication

Essential

  • Good communication skills – able to communicate with wider Multi-Disciplinary Team

Desirable

  • Previous experience & knowledge of Pain Management

Qualifications

Essential

  • GCSE or equivalent in English Grace C or above
  • RSA/OCR III in typewriting/word processing or equivalent
  • Business Administration NVQ Level 3 or equivalent experience in a clerical environment

Desirable

  • Medical Secretary AMSPAR
