Job summary

We are looking for friendly, organised and enthusiastic Receptionists to join our team at Penn Hill Surgery.

We have re-organised our reception and secretarial teams to increase our numbers in reception in order to provide the best service to our patients whilst making the role more varied for staff.

We are looking for two part time receptionists to share the vacancy hours. The hours would ideally be worked in the following regular shift patterns:

  • Two part-time positions: Vacancy 1 = 17 hours or Vacancy 2 = 22.25 hours
  • Vacancy 1 working pattern: Mon 10:00-18:30, Tues 08:30-13:00 & Weds 13:00-17:30 = 17 hours p/wk
  • Vacancy 2 working pattern: Mon 08:30-13:00, Thurs 08:30-17:30, Fri 08:30-18:30 = 22.25 hours p/wk

Main duties of the job

  • Provide an efficient, professional and welcoming reception service to patients, visitors and other healthcare professionals.
  • Answer telephone calls, deal with general enquiries, explain practice procedures, signpost patients to the most appropriate clinician or service, and accurately relay messages when required.
  • Book, amend and cancel appointments using practice systems, ensuring patients with urgent clinical needs are managed appropriately using sound judgement and established procedures.
  • Accurately register new and temporary patients, process deductions and maintain patient records using EMIS.
  • Action and complete tasks received through EMIS, AskMyGP and email on a daily basis.
  • Scan and accurately code clinical correspondence onto patients' electronic medical records.
  • Explain practice services and registration requirements to patients and ensure all relevant documentation is completed.
  • Process payments for private (non-NHS) services, issue receipts and maintain accurate financial records.
  • Work closely with clinical and administrative colleagues to ensure the smooth day-to-day running of the practice and deliver excellent patient care.

Penn Hill Surgery is located just off of Yeovil's town centre and benefits from on-site staff parking.

We are a friendly, forward thinking training practice with a team of 4 GP partners, 2 salaried GPs, a Clinical Pharmacist, 5 Practice Nurses and GP Trainees. Our wider non-clinical team includes Health Coaches, General Practice Assistants (GPAs), Finance, CQC and Performance Administrators, Medical Secretaries, Receptionists, a Deputy Practice Manager and a Practice Manager.

We pride ourselves on having a hardworking, supportive team where colleagues help one another and work together to provide the highest standard of patient care. We are looking for someone to share our values and will become an important part of our practice team.

Main Responsibilities

Reception

Premises

  • Prepare the surgery for the start of the working day.
  • Secure the premises at the end of the day when required, ensuring practice procedures are followed.

General Responsibilities

  • Attend team meetings, staff meetings and mandatory training.
  • Participate in service improvement initiatives.
  • Maintain confidentiality at all times in accordance with GDPR, NHS guidance and Practice policies.
