Detailed job description and main responsibilities
The Trusts Transport department provide the Trust with the transportation link between all 9 hospitals, Prisons, smaller Trust sites, Acute Hospitals and all GP Surgeries in the South of the County.
The department has responsibility for all aspects of fleet management of Trust fleet and car club vehicles, Car Parking & permit management and EV chargers.
The Post Holder will be required to:
- To work with existing systems and processes to provide an effective administrative service to the team.
- To accurately use and maintain administrative systems within specified timescales.
- To demonstrate excellent written and verbal communication skills.
- Assist the Transport Manager to ensure all invoices received by the department are accurate and processed within Trust standing financial instructions.
- Assist in raising purchase orders and keeping accurate records of invoices processed.
- File and keep department records up to date to ensure that mandatory DOH returns can be accurately completed.
- Assist the Transport Manager to ensure that the program of yearly driving license checks for anyone driving Trusts vehicles is kept up to date and compliant with Trusts insurance requirements.
- Assist with queries relating to the management of the Trusts Car Parks and permit system.
- Assist with team compliance for mandatory training, supervision and appraisals.
- Assisting with the management of department generic email inboxes.
- Be proficient in using IT systems such as word and Excel and able to design and build spreadsheets as required.
- Work autonomously in arranging own workload ensuring deadlines are met.
- To always demonstrate the Trust’s values in the workplace.
