The Junior Communications Officer plays an important part in helping the Communications Team to support the Trust’s aims and objectives.
The post holder provides general communications and administrative assistance to the Communications Team, helping organise events, supporting the team’s activity plans and helping ensure the team’s tasks and actions are completed to agreed deadlines.
The post holder will take responsibility for key communication tasks such as screensavers and checking and updating the Trust’s intranet and public website.
The post holder will be organised and enthusiastic with a passion to grow their career in communications.

Main duties of the job
This role is a great mix of admin, organisation and creative communications work within a busy team. You’ll help keep everything running smoothly, supporting the staff intranet (The Hive), contributing to newsletters, managing our shared inbox, updating the website, and helping plan events like the staff awards.
There’s lots of variety you could be writing content, checking and updating pages, organising meetings, tracking activity, or even taking photos at events to support campaigns.
We are looking for someone who is organised, proactive and a real team player. You will need strong communication skills, good attention to detail, and the ability to manage your time and juggle different tasks. Being confident with IT and interested in digital content, social media and communications is important too.
Most importantly, we want someone who is enthusiastic about communications, keen to learn, and happy working in a fast-paced, supportive team environment.
Detailed job description and main responsibilities
- Provide general communications and administrative support to the Communications Team.
- Assist in maintaining and developing The Hive (staff intranet) - including researching, writing and uploading content and supporting editors and contributors from departments and services across the Trust. Carrying out regular audits of expired documents and other content, contacting authors to ensure information is updated or removed.
- Support the Internal Communications Officers with the production and development of the weekly staff newsletters.
- Managing the stakeholder database.
- Assisting with the communications and engagement activity planner, ensuring team members are managing and delivering agreed actions.
- Responsible for uploading and managing screensaver schedule (internal and public screens).
- Arrange team meetings, produce agendas and distribute relevant papers, provide note taking and action planning.
- Taking lead responsibility, working with other team members, to ensure the team’s generic email inbox (hpft.comms@nhs.net) is reviewed regularly throughout the day and messages are managed and responded to in a timely manner.
- Manage the stationary/purchase order request/invoices etc for the department using the Trust’s procurement system.
- Support production of communications activity reports, collating information and statistics to produce regular update reports on activities and impact.
- Assist in maintaining and developing the Trust’s website including researching, assisting with written content and uploading content and supporting editors and contributors from departments and services across the Trust. Carrying out regular audits of pages and links.
- Support the Communications Officer and External Communications Manager in monitoring the Trust’s social media channels.
- Support the planning and organising of key events – in particular the staff awards and the Annual General Meeting.
- Support the Communications Team by acting (when required) as a Trust photographer, capturing high-quality images at events and for campaigns, including cultural awareness days. Images will feature staff, service users (with consent) and members of the public, helping to create engaging photography for use across publications, campaigns and digital channels.

Knowledge and experience

- Experience of a range of IT software packages including Microsoft office
- Experience of using equipment to capture video and audio content
- Ability to work under pressure and to tight deadlines

- Experience of office administration

- Knowledge of media and PR techniques
- Experience of social media channels and their usage with different audiences.
- Experience of writing for different audiences
Qualifications and Education
Essential
- At least five GCSEs in grades A – C including English and Mathematics
Desirable
- A level English, NVQ/SVQ Level 3, or a BTEC National qualification relating to public relations/communications, marketing, journalism or digital communications.
