Job overview

The FOI/Subject Access Coordinator is responsible for processing information requests within the Trust’s Digital Assurance team.

You will keep the team organised and equipped with all tools necessary for effective service delivery making sure the team meets all deadlines across information requests.

To fulfil the needs of the Trust’s services, you may need to work outside your usual area. The Trust also reserves the right to move your regular workplace to any location within its organisation.

Main duties of the job

The FOI/Subject Access Coordinator manages subject access and health records requests for the Trust’s centralised function, ensuring all are processed accurately, lawfully, and within statutory deadlines.

The role includes line management, training, supervision, and appraisals for junior staff, maintaining high standards of quality assurance. Responsibilities cover coordinating complex information retrieval, quality-checking responses, keeping precise records, and acting as a key contact for enquiries.

Collaboration across the Trust, risk escalation, and deputising for senior colleagues are required to guarantee a consistent, compassionate, and compliant service.

We seek an organised professional with strong subject access, data protection, and redaction knowledge in mental health or NHS contexts.

You must excel at attention to detail, workload prioritisation, and independent work while leading with compassion and respect. Strong communication, advanced IT skills (Microsoft Office, Adobe), and experience in training, auditing, and procedure development are essential, alongside a proactive approach to improvement and high-quality service.

Person specification

Essential and Desirable

Essential

  • English Language/English Literature GCSE Grade A-C or equivalent
  • NVQ Level 3 or equivalent
  • Extensive experience of processing requests for information within a mental health setting
  • Minimum of two years’ experience of data gathering and redaction in a mental health setting
  • Extensive experience of office administration in a busy environment
  • Experience of drafting procedures, processes for others to follow
  • Experience of producing communications materials including maintaining intranet/internet sites
  • Experience of conducting audits
  • Good working knowledge of relevant national guidance and legislation, including redaction
  • Experience of working to strict deadlines
  • Effective time management skills
  • The ability to prioritise tasks and workload
  • Ability to work on own initiative
  • Excellent verbal and written skills with the ability to communicate well with all service users and staff
  • The ability to train and deliver presentations
  • Excellent IT skills, including Microsoft Word, Excel, Outlook, PowerPoint and Adobe
