Main duties of the job
The Flu administrator will provide a full secretarial and administrative service, having daily liaison with a wide range of staff at all levels and regular contact with people who use services. The Flu Administrator will be responsible for ensuring the effectiveness of the administrative environment for the Physical Health team during the Trust flu vaccination campaign.
Detailed job description and main responsibilities
- To provide comprehensive and efficient secretarial support to the team; this will include handling all aspects of correspondence, including coordinating flu clinics, managing appointment bookings, maintaining accurate vaccination records and responding to staff queries.
- Liaise with other directorates and staff at all levels, both internally and externally. Ensure that all documents and correspondence are filed correctly.
- To be responsible for managing flu clinics and preparing papers for meetings concerning the Trust flu vaccination campaign.
- Organise and facilitate relevant meetings, preparing the agenda, taking minutes.
- To open and process incoming and outgoing requests for vaccination.
- To capture trust wide staff data for flu vaccination compliance and report in a timely manner
- To prepare a weekly summary of performance and flu uptake for IPG and QRMS.

Qualifications
Essential
- NVQ 3 or equivalent
- RSA 3 or equivalent experience and evidence of further practical experience or equivalent
- Good standard of secondary education; GCSE at Grade C or above or equivalent
Knowledge/Experience
Essential
- Proven experience of a range of secretarial procedures
- Experience of producing documents to a high standard of presentation with good accuracy
- Experience of maintaining office systems
- Experience of working as part of a team
