Job summary

Hinckley and Bosworth Medical Alliance is a GP Federation that supports 12 GP practices across the Hinckley and Bosworth locality, which form 3 Primary Care Networks.

This role will support the Federation, 4 Fed Health Care Limited, The Centre Surgery, as well as the three Primary Care Networks.

It is an exciting opportunity, as we are ideally looking for someone to work 5 days per week, 6 hours per day. However, there is some degree of flexibility and movement in regard to this.

This role is located at Fields Farm Business Centre, Sapcote, a contemporary business hub with convenient access to the M69 and A5.

As the headquarters of Hinckley & Bosworth Medical Alliance, it provides a stable, professional setting with good local amenities and straightforward commuting routes, an attractive base for candidates seeking a balanced and accessible workplace.

Main duties of the job

Job Overview

The post holder will be acting as the main point of contact for all finance related matters. This is a fantastic opportunity for a candidate with sound accounting knowledge looking to have sole responsibility for coordinating and maintaining an accounting and payroll department. This is a full 360 finance role with tasks ranging from payroll, reconciliation, invoicing, accounts analysis and forecasting.

Job responsibilities

Job Purpose/Summary

To support the production of accurate financial information for Hinckley & Bosworth Medical Alliance Ltd (the Federation), 4Fed Healthcare Ltd, The Centre Surgery and the three Primary Care Networks (PCNs) Bosworth, Fosseway and Hinckley Central.

To manage payroll and pension services for the Federation and member practices / non-member organisations signed up to this service.

To analyse and present financial information to the Federation Managing Director, the Federation Board / Shareholders and PCNs.

To analyse, review, monitor and present monthly reports to member practices and quarterly reports to the Board.

Ensure internal control checks are adhered to and maintain accurate accounting records to support the production of statutory reporting, the preparation of the annual accounts and to support decision making.

To work closely with and support the Payroll & Finance Administrator.

Be an integral member of the Federation team.

The Centre Surgery:

Support the Practice Manager with all practice financial matters.

Produce monthly budget and cash flow reports.

Manage payroll and pension processing on a monthly basis.

Federation Administration:

Manage all Record-keeping on Sage and Sage Payroll. Manage all financial transactions, processing and record keeping:

  • Cash-flow monitoring and forecasting
  • Management of bank accounts
  • Bank reconciliations
  • Payment reconciliations
  • Purchase and sales ledger processing
  • PAYE
  • Expense forms
  • Pensions management
  • Management of all Additional Roles Reimbursement Scheme (ARRS) claims.
  • Process all payments to practices on a monthly / quarterly basis.
  • Process all supplier payments on a monthly basis.

Maintenance of general financial controls to ensure the integrity and accuracy of accounts and balance sheet.

Manage all payroll services ensuring prompt and accurate processing and payment of salaries to all employees for whom payment is due, in accordance with relevant policies, procedures, terms and conditions and statutory regulations.

Liaise with the Integrated Care Board (ICB) finance team and the Federations external accountant.

Ensure all annual leave and bank holiday entitlements are recorded appropriately for payment and audit purposes.

Liaise with suppliers and manage account queries.

To formulate letters and spreadsheets using Microsoft Word and Excel either as an original document or using a standard format template to ensure accurate information is documented, calculated, and communicated.

To undertake any other duties the Federation Managing Director may allocate.

General Requirements:

To undertake surveys and/or audits as and when required.

Carry out project and analysis work as required, to support the finance function, deliver efficiencies, strengthen financial controls and enhance reporting.

To contribute to and implement financial policies and procedures as and when required.

To be responsible for the secure and confidential treatment of all payments records and personal information, ensuring correct authorisation is obtained before the release of sensitive and confidential information.

Health & safety:

The post-holder will implement and lead on the full range of promotion and management of their own and others health, safety and security as defined in the practice Health & Safety policy, the practice Health & Safety manual, and the practice Infection Control policy and published procedures. This will include (but will not be limited to):

  • Ensuring job holders across the practice adhere to their individual responsibilities for infection control and health and safety, using a system of observation, audit and check, hazard identification, questioning, reporting and risk management.
  • Maintaining an up-to-date knowledge of health and safety and infection control statutory and best practice guidelines, and ensure implementation of these across the business
