Job summary
The Clinical Engineering Service is responsible for managing a wide range of medical equipment and associated services across Leeds Teaching Hospitals NHS Trust, supporting the safe and effective delivery of patient care. Working as part of the Service Reception Team, you will play a key role in supporting technical and clinical staff by coordinating service activities and helping to ensure the smooth operation of the department. The post is primarily based at St Jamess University Hospital, with occasional cover required at Leeds General Infirmary. Main duties of the job
Clinical Engineering is a large, diverse, and welcoming team within the Medical Physics Department at Leeds Teaching Hospitals NHS Trust, forming part of the Oncology Clinical Service Unit. We play a vital role in supporting patient care by managing the lifecycle of approximately 40,000 medical devices used across the Trust and community healthcare settings throughout Leeds and the surrounding areas. Our Reception Team is at the heart of the department, providing essential administrative and operational support that helps keep services running efficiently. What you will bring to the role

- Support technical teams by coordinating service requests and managing job workflows.
- Manage and procure spare parts for the repair and maintenance of medical equipment.
- Accurately record equipment and service information using departmental databases.
- Handle incoming equipment for repair and service, ensuring efficient processing and scheduling.
- Manage goods receiving activities, including checking and processing deliveries.
- Maintain equipment inventory records and asset registration data.
- Assist with the commissioning and acceptance of new medical equipment.
- Prepare and package medical equipment safely for transport and external repairs.
- Carry out minor equipment repairs and checks where appropriate.
- Contribute to service improvements and develop procedures within your area of responsibility.

- Participate in the equipment management activities of the Clinical Engineering Service, managing own time.
- Work to objectives set within the quality system and through annual appraisal.
- Persuade and negotiate with suppliers, users and other teams to ensure that replacement parts are available and service priorities are met.
- Daily work includes providing replacement consumable stock to clinical staff e.g. blood pressure cuffs and pulse oximeter probes and repair of some items of medical equipment.
- Staff are expected to deal compassionately with patients and their carers, both on the telephone and face-to-face when they contact us regarding loan equipment that may have malfunctioned, be due for servicing, or no longer be required.
- Ability to concentrate on collating parts lists, writing requisitions for spare parts, updating the computer databases and responds to many unpredictable interruptions from incoming deliveries and members of staff.
- Uses computer database information to plan and forecast spare parts needed for preventative maintenance activities.
- Ability to work flexibly and to cope with large and unpredictable workload
- Participates in the relevant training and development of new reception staff within Clinical Engineering.
- Supports the technical service teams as necessary to meet customer needs.
Qualifications and Training
Essential
- GCSE in Math and English or equivalent
Desirable
- ONC or equivalent qualification in electronic or engineering subject.
Special Knowledge including experience
Essential
- Sound understanding of quality management systems.
- Keyboard skills.
- Knowledge of computer database, Access database, Oracle database and general I.T. skills.
- Knowledge of medical equipment types and accessories.
- Knowledge of stock control system.
- Knowledge of parts held in stock and their location.
- Proven ability to work managed rather than supervised.
- Manual dexterity, accurate hand eye co-ordination and use of workshop hand tools.
- Good communication skills at all levels.
Desirable
- Clean driving licence
- Sound knowledge of computer database / I.T. skills.
