Job overview

Responsible for providing comprehensive administrative support to the breast services team.

To work flexibly and develop a good effective working relationship with all the staff within the Trust and with external candidates.

Deal with telephone enquiries, relaying accurate information. To make sure all phone calls are handled confidentially, professionally and in a timely manner.

To carry out designated duties relating to and connected with data input/typing and retrieval using Trust PAS, Filefast and other software systems in use within Breast Services.

Main duties of the job

  • Provide a high-quality service by actioning tasks arising from breast clinics; ensuring clinical coding is entered in patient’s record from documentation, including updating I.T systems, completing ITP (inter transfer provider forms) and image transfer and escalate to the Senior Medical Secretary for resolution, if required.
  • To actively monitor and book appointments for Breast Services using the relevant IT software systems.
  • To handle any queries or telephone enquiries in an accurate and professional manner and seek advice when required.
  • To deal with patient’s notes and ensure they are kept safely, properly updated and the confidentiality of the information contained within is maintained.
  • Manage own workload by prioritising tasks accordingly to meet deadlines, acting upon own initiative and highlighting problems to the breast services secretaries.
  • To ensure the effective and efficient delivery of the clinical administration function and carry out ad-hoc duties e.g., sort post, filing, photocopying, and scanning etc.
