Main duties of the job
The post holder will provide a high quality administrative support to the Pain Management clinical team, acting as a primary point of contact for patients and external stakeholders. Responsibilities include managing patient and external enquiries by telephone and email in a professional and sensitive manner; communicating clinic appointments, admissions and other service information; coordinating clinic and theatre bookings. Daily monitoring and responding to email inboxes and voicemail messages; undertaking clinic typing, data entry and maintaining accurate electronic patient records; attending meetings and producing accurate minutes when required; and liaising closely with GP practices, hospital departments and external NHS organisations.
The role involves exercising judgement to appropriately escalate complex or sensitive issues, particularly when dealing with distressed, irate or bereaved patients, and providing cover for the Team Leader and other Clinical Administrator roles across the Department as required. Regular patient contact will include engagement with individuals experiencing long-term or complex pain, anxiety regarding appointments or treatment delays, and relatives who may be distressed or bereaved, requiring a calm, compassionate and professional approach while maintaining service efficiency.

- Attend meetings and undertake accurate minute-taking when required
- Liaise with other departments, GP practices and external NHS organisations
- Escalate complex or sensitive issues appropriately, particularly when dealing with distressed, irate or bereaved patients

Skills & Abilities
Essential
- IT Skills to include MS Office software packages e.g. Microsoft Word, Excel, Outlook and PowerPoint
- Advanced keyboard skills including a high standard of word processing skills
- Excellent communication skills
- Ability to work without direct supervision
- Ability to manage time effectively and work on own initiative
- Ability to accurately input, collate and present information
Knowledge & Experience
Essential
- Experience of secretarial/administrative procedures
- Understanding of confidentiality
Desirable
- NHS Administration/Secretarial experience
- Working Knowledge of NHS Systems e.g. eRecord, System One
- Knowledge of medical terminology
Qualifications & Education
Essential
- Level 3 qualification in administration or equivalent/relevant experience in administrative role(s)
- English qualification at Level 2 (GCSE Grades 9-4 or A*-C, or Functional or Key Skills at Level 2)
- Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1
