An exciting opportunity has arisen for an enthusiastic, organised, and motivated individual to join our Administration Team as a Clinical Administrator in the Rheumatology Metabolic Bone Service.

We are looking for an enthusiastic, highly motivated and forward-thinking individual to undertake the role of Band 3 Clinical Administrator within the Metabolic Bone Service in Rheumatology at Freeman Hospital, part of the Newcastle upon Tyne Hospitals NHS Foundation Trust.

This role will primarily provide admin support for the Metabolic Bone Service within Rheumatology, working closely with Consultants, junior medical staff, clinical nurse specialists and other clinical staff within the consultant team.  It will also support the provision of ad hoc admin support for the Blood Monitoring Admin Team as required.

This role covers a variety of duties and provides the opportunity to work within a very supportive and welcoming team to develop existing knowledge and skills further and provide an efficient administrative service. The ability to work independently and follow the policies and procedures for the department is essential.

The successful candidate will be able to demonstrate excellent communication skills, flexibility, reliability, and must have an organised approach to their workload.

Detailed job description and main responsibilities

  • Working as part of a team to provide an efficient administrative service to the Metabolic Bone Consultants, Junior Medical Staff and other clinical staff within their team, ie. Clinical Nurse Specialists, Physiotherapist and Clinical Pharmacist
  • Prioritise workload to ensure that the team provide a professional service to all concerned in a timely manner.
  • Undertake the proof-reading of letters generated using voice recognition as well as the occasional audio-typing of ad hoc tapes.
  • Deal with all telephone enquires promptly and efficiently supporting the Metabolic Bone Service and occasionally the Rheumatology Advice Line when required.
  • Communicate with patients regarding appointments and admissions at the request of medical staff and liaising with various nursing teams and staff in MSU Outpatients and Rheumatology Day Unit.
  • Processing eReferrals and tertiary referrals
  • Chasing results/DEXA scans and/or checking that various appointments have been requested/made for the patients
  • Maintaining spreadsheets and other administrative work
  • Flexible to undertake ad hoc duties as required to support the needs of the service.
  • Ad hoc admin duties include support for the Blood Monitoring Admin Team as required.

Job Purpose

  • Working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of their team e.g. Specialist Nurses and Therapists
  • Communicates with patients regarding appointments and admissions at the request of the medical team
  • Provide cover for Team Leader within your administration team as required
  • Cover Clinical Administrator posts Trust wide as required

Person specification

Skills & Abilities

Essential

  • • IT Skills to include MS Office software packages e.g. Microsoft Word, Excel, Outlook and PowerPoint
  • • Advanced keyboard skills including a high standard of word processing skills
  • • Excellent communication skills
  • • Ability to work without direct supervision
  • • Ability to manage time effectively and work on own initiative
  • • Ability to accurately input, collate and present information

Knowledge & Experience

Essential

  • • Experience of secretarial/administrative procedures

Desirable

  • • NHS Administration/Secretarial experience
  • • Working Knowledge of NHS Systems e.g. eRecord, System One
  • • Knowledge of medical terminology

Qualifications & Education

Essential

  • • Level 3 qualification in administration or equivalent/relevant experience in administrative role(s)
  • • English qualification at Level 2 (GCSE Grades 9-4 or A*-C, or Functional or Key Skills at Level 2)
  • • Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1
