The job vacancy is for a Clerical Officer in the Dermatology Department working with the 'Urgent Suspected Cancer Team'. This is a exciting opportunity to work with the USC Team (Urgent Suspected Cancer). It is a fast paced, rewarding job. You will carry out general admin tasks, prepping of notes for clinics, booking patients in over the phone, sending letters and accepting referrals. The systems that are used are Connect system with is a trust wide system, Infoflex and ICE systems. The team is situated within the Dermatology outpatients.
Main duties of the job
- Provide occasional reception service to patients (including admitting, departing and updating outcome of appointments)
- Preparation for clinics.
- Telephoning patients to book their appointment /remind them of the appointment they have booked and what type of appointment it is.
- Contact patients to arrange/ book outpatient face-face, telephone updating these on the trust EPR system.
- Undertake administration functions for the department, such as scanning, telephone messages, ambulance and clinic/daycase bookings, text reminders, filing in patient notes, generic email (writing and reply), incoming post and small parts deliveries, etc.
- Undertake accurate recording / inputting and amending of data and new referral input within Trust information systems.
- Communicate effectively with the use of tact and diplomacy and seek to overcome barriers to effective communication. This may require the use of multiple communication methods, such as email, telephone, reception duties, etc.
- Work collaboratively with the wider departmental team to ensure a consistent and effective Patient First service.
- Input and outcome in the Infoflex system.
- Undertake effective prioritisation of own workload and the coordination of activities / duties related to the role.
- Work on a rota basis to cover reception duties on a Tuesday and Wednesday working 12-8pm, roughly every 12 weeks.

- Experience of working within an office environment

- Knowledge of / experience of using information and/or customer service systems.
- Working knowledge of Microsoft Office packages including Outlook, Excel and Word.

- Previous experience Infoflex / 59R Software
- Previous experience of PAS / Infoflex / SystmOne (area specific software)
Skills and Knowledge
Essential
- Understanding of data protection issues and the ability to maintain confidentiality
- Excellent communication skills, with ability to deal with staff at all levels.
- Displays use of initiative with effective organisational skill
- Ability to prioritise and work to strict/conflicting deadlines
- On-going commitment to personal development
Education / Qualifications
Essential
- GCSE at Grade C/4 in English and Maths (or equivalent qualifications) or equivalent experience
Desirable
- NVQ Level II in Business Administration / Customer Service / IT
