Job overview

We are looking for a highly motivated, energetic and collaborative individual to join our busy Oncology administration team. This is an excellent opportunity to play a key role in supporting the delivery of a smooth, efficient and compassionate service for our patients.

As a Clerical Officer, you will work in a demanding but rewarding environment, contributing directly to the patient experience and the overall effectiveness of the department. You will be responsible for ensuring that essential clinical paperwork is processed accurately and promptly, supporting the preparation of clinics and medical notes, and assisting the secretarial teams with a range of administrative duties as required.

Main duties of the job

- To provide comprehensive administrative support to the Oncology Department

- Assisting with the maintenance and filing/scanning of electronic and paper Oncology case notes within the various secretarial and admin offices in the department

- Accessing various hospital systems to retrieve results as required

- Entering patient data into the patient administration system (Trak) on a daily basis

- Managing the clerical team mailbox, triaging incoming messages, providing prompt responses, and ensuring all actions are completed efficiently and in line with service priorities

- Preparing incoming and outgoing postal correspondence

- Returning and tracking of paper hospital notes to the appropriate department or hospital

- Assisting with the processing of dictated letters including typing and proofreading tasks as required

- Processing voicemail messages, ensuring they are accurately recorded, dealt with and passed on promptly

- Communicating with patients and relatives by telephone, using sensitivity and clear communication to support individuals who may be distressed, confused, or displaying challenging behaviour.

- Assisting with a variety of tasks to help the wider teams as required

- Provide relief admin cover for absences within the department as required

- Possess a flexible/adaptable approach to work in order to meet various deadlines across the dept.

Qualifications

Essential

  • Educated to GCSE grade C or above (or equivalent) in literacy and numeracy
  • Computer literate in Microsoft Office packages

Knowledge & Skills

Essential

  • Excellent communication skills. Ability to communicate effectively with all levels of staff, clinicians and patients
  • Proven organisational skills and ability to prioritise workload and work to deadlines

Desirable

  • Previous experience in a hospital environment, or suitable office experience
