Job overview

We are seeking a highly organised and proactive Business Lead to join our Children and Young People’s Services (CYPS), supporting the Crisis Pathways within the CYPS Core 13 Paediatric Liaison Service which is based at Frimley Park Hospital.

This is a key role providing senior administrative leadership and operational support to ensure the smooth and efficient running of a busy and complex service. You will work closely with senior manager/s, acting as a central point of coordination, supporting service delivery, working alongside the CYPS Crisis Pathway administrative staff and assisting on leading on administrative duties within the service.

Main duties of the job

  • Provide senior administrative and operational support to CYPS Core 13 Paediatric Liaison Service within the crisis pathways
  • Manage complex diaries, meetings, and communications on behalf of senior manager/s and Consultant Psychiatrist
  • Act as a key point of contact for internal and external stakeholders including maintaining a close working relationship with Acute General Hospital
  • Lead and if required supervise administrative staff, including workload allocation and support
  • Coordinate meetings, prepare agendas, take minutes and track actions
  • Support recruitment, appraisals and staff management processes
  • Monitor data quality and support performance reporting using systems such as SystmOne, ESR, and Datix, as well as lead on developing access/training on acute hospital EPR systems
  • Manage referrals, update clinical records, manage staff rota's and support clinic bookings for Consultant Psychiatrist as required
  • Oversee administrative systems, office processes, and resource management
  • Contribute to service improvement and ensure high standards of customer service

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

Person specification

Experience

Essential

  • Sufficient experience of clerical and administrative work requiring a high degree of accuracy and working in accordance with policies/procedures.

Desirable

  • Experience in supporting Senior Managers.

Qualifications

Essential

  • NVQ Level 4 in Business Admin or equivalent experience (sufficient experience at Band 4 and Band 5)

Desirable

  • Shorthand or speed writing course
