Job overview

An opportunity has arisen to provide comprehensive administrative support to our busy Brooke Treatment Unit.

You will be responsible for supporting the effective and efficient running of the unit alongside the Ward Manager and Operational Service Team in order to meet the ward objectives and those of the organisation.

Key responsibilities include maintaining an elective waiting list, arranging and coordinating patient admissions and discharges,  and to provide day to day administrative support to the unit.

The Administrator will be expected to work with minimum supervision.

The role is challenging, encompassing many elements and requires excellent organisational and communication skills.

Main duties of the job

  • Maintaining the waiting list for patients requiring urgent, semi urgent or planned admissions to the ward. Organising patient admissions and discharges including transfers to and from other hospitals.
  • Manning Reception desk in the absence of the Receptionist, meeting and greeting patients and clerking patients on the system
  • Liaising with Medical and Nursing staff, MDT team and other departments to ensure patients investigations are carried out promptly.
  • Fulfilling general administrative duties including updating files containing sensitive/ personal and confidential information relating to patients on the ward.
  • Organising case conferences, professional meetings and ad hoc meetings as required, ensuring all parties concerned are notified of the time/date/venue etc.
  • Dealing with enquiries from service users/ relatives and visitors at time of stress and uncertainty which may be of a distressing, emotional or sensitive nature.
  • Organising outpatient appointments for patients requiring follow ups post discharge.
  • To assist ward managers/matrons in the investigation of non-clinical adverse events with appropriate support and supervision.
  • To support the ward managers/matrons to sustain high levels of efficiency and effectiveness that ensures positive outcomes and reduces the risk of harm.

Skills

Essential

  • Excellent communication skills, both verbally and non-verbally when dealing with patients/relatives and other internal and external agencies especially when providing or receiving complex or sensitive information.
  • Ability to demonstrate the use of information systems, e.g. word processing packages, spreadsheets, databases, patient administration system, email etc.

Knowledge

Desirable

  • Working knowledge of Trusts current information systems

Experience

Essential

  • Proven previous administrative experience within the NHS setting.

Qualifications

Essential

  • Good general education including numeracy and literacy skills
  • Computer literate

Desirable

  • IT related qualification or equivalent
  • NVQ 2 business administration
