The role of an Appointments Clerk (Higher Level) is varied and you will have many different responsibilities ranging from booking appointments and maintaining clinic templates to validating patients to ensure the appropriate outcome. You will be guided by a Team Supervisor who will provide support and leadership daily. You will be responsible for ensuring a smooth and efficient booking process for patients within the guidelines of following Trust policies.

The Outpatients Appointments Team consists of a Booking Team, Reception and a Contact Centre. We are a dynamic and varied team, committed to providing excellent patient experience and delivering high quality patient care. The Booking Teams are based in a large, busy open plan office, and each team is responsible for different specialties. Our teams have a strong worth ethic and provide support to each other during busy and high-pressure situations.

Main duties of the job

The main duties of an Appointments Clerk (Higher Level) is to maintain clinic templates, record referrals and appoint patients appropriately and in line with identified timescales and provide comprehensive administrative support to the specialties associated to each Appointments team. The successful candidate will be expected to accurately deliver administrative responsibilities within a focused and demanding environment.

  • Management of clinical sessions is required at this level and includes setting up, maintenance, cancelling and reducing in line with Directorate/Departmental rotas. The role involves working as part of a team administering appointments in line with Trust policies and procedures, ensuring referrals are processed effectively using systems in place and ensuring patient access targets are met. Essential

  • Understanding of patient access targets and local policies
  • Experience of dealing with the general public and/or patients
  • Good interpersonal/communication skills and ability to relate to people with tact and diplomacy

Experience

Essential

  • Minimum 2 years' experience working as a basic level appointments clerk (or similar)
  • Knowledge of appointment systems

Desirable

  • Knowledge of Lorenzo

Qualifications

Essential

  • GCSE Mathematics and English
  • Demonstrable working experience, equivalent to L3 NVQ

Desirable

  • Customer Care qualification
