An opportunity has arisen to recruit a Directorate Administrator & Project Support to join the Gloucestershire Hospitals Foundation Trust’s Improvement & delivery Team.

Reporting to the Strategic Programme Manager the role is to provide administrative and project support to the directorate team and the number of projects the directorate is delivering.

Main duties of the job

The post holder will provide high‑quality administrative and project support across a range of projects delivered by the Directorate, working under the direction and guidance of the Improvement and Delivery Programme and Project Managers, as well as using their own initiative.

As part of the Improvement and Delivery function, the role holder will work closely with Operational Directors, Clinical Leads, General Managers and senior colleagues across the Trust and the Integrated Care System (ICS) to ensure programmes and projects deliver agreed outputs and outcomes on time.

The post holder will coordinate progress reporting, support the management and scheduling of meetings for several strategic projects and programmes, and ensure effective communication between project teams and partner organisations. They will act as the first point of contact for enquiries from end users, ensuring a professional and responsive service.

Detailed job description and main responsibilities

Project support key roles and responsibilities -

- Provide a competent and effective standard of administrative support to the Strategy & Transformation team and project leads at management level to ensure the smooth running of programmes and projects.

- Communicate effectively with a range of people on a variety of project matters across multiple organisations and with people at Board Level.

-Maintain a library of project files and outputs including strict version control and utilising protocols for change control of documentation.

- Coordinate the progress  reporting and the management and arrangement of meetings to number of strategic projects and programmes.

Essential

  • Experience of creating and updating spreadsheets and databases
  • Ability to work well in a team
  • Ability to multitask

Desirable

  • Experience of working in the NHS or similar customer focused environment

Qualifications

Essential

  • GCSE Maths and English at grade “C or above

Desirable

  • NVQ in Administration Level 4

Knowledge/ Skills

Essential

  • Organisational skills with the ability to prioritise workload and work to deadlines
  • Good communication and interpersonal skills with a good command and understanding of English, punctuation and grammar
  • Ability to use own judgment and initiative
  • Proficient in Microsoft office, including word and excel

Desirable

  • Knowledge and awareness of health and safety issues, risk management, and data protection act

  • Ability to work well within a team, providing support to others as required
