Job summary

The Vale Medical Practice has an exciting Administration Team Leader opportunity for a flexible, self-motivated and hardworking individual. The position is offered on a full-time basis to cover maternity leave.

Some flexibility is required as you will sometimes be required to work additional, or alternative, hours to cover for colleagues.

Interviews will be held on 22nd July 2026.

Main duties of the job

The role will require you to support the senior leadership team to ensure the delivery of high-quality administration services, in our primary care GP Surgeries, through the effective organisation and delivery of services by our administration and reception team. The successful applicant will work in collaboration with other members of the management team to enable the practice to meet its agreed aims and objectives within a profitable, efficient, safe, and effective working environment. You will be responsible for the leadership for all operational functions delivered by the administration team and act as a role model, demonstrating leadership, training/mentoring and promoting the standards expected, by the practice, and creating the energy and enthusiasm for the service.

About us

We are a friendly surgery with a list size of over 18,000 patients, over two sites. Our main site is Wootton Vale, (MK43 9JJ), and we have a branch site, Shortstown Surgery, (MK42 0GS).Both practices are based on the outskirts of Bedford town centre and have easy access and free on-site car parking.Both practices share the same clinical and management teams, & are active members of our Primary Care Network, (PCN Caritas).

We have good appointment access, which means happy patients as demonstrated by our high patient satisfaction scores, (Google Star score of 3.8 and ranked SEVENTH highest Bedfordshire GP Surgery in the 2025 IPSOS MORI GP Patient Survey), and a strong teamwork ethos that includes an established clinical pharmacy team, GPs, nurses, physician associate, and a clinical liaison team who look after the clinical staff.

We embrace IT and automation and often pilot new innovations. We are an accredited GP training practice for nurses, pharmacists and doctors. We are an Armed Forces veteran friendly accredited GP practice.

Experience

Essential

  • Ideally candidates will have worked in a GP practice using TPP SystmOne or another GP clinical system.
  • Some flexibility is required as you will sometimes be required to work additional, or alternative, hours to cover for colleagues.
  • Able to demonstrate a proven employment history of managing and supporting a team.
  • Experienced in NHS or healthcare administration, with a strong track record of overseeing workflows, supporting reception teams and back-office functions, maintaining compliance with NHS standards and confidentiality requirements, and providing effective day-to-day leadership.
  • Adaptable and friendly, with strong administration, time management and organisational skills.
  • An excellent communicator able to work in a confidential and discreet manner.
  • Able to "think on their feet" in a busy working environment.
  • Able to multi-task, work hard and maintain a high level of attention to detail, when under pressure.
  • Able to work as part of a multi-disciplinary team, as well as demonstrating the ability to work independently.
