Powys Teaching Health Board (PTHB) is committed to providing mental health services  to align with the requirements in Welsh Government policy.

We are looking  for an enthusiastic individual to join our Community Mental Health Team  to undertake the role of the Administration Support Officer within a busy multi-disciplinary team

The post holder will require excellent communication skills, liaising with patients and clinicians over multiple channels i.e. telephone, email.

The post holder will work positively and flexibly to support the needs of the service, be motivated, ready for the next challenge and enjoy working as part of a very busy team.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply

Main duties of the job

  • Provide a comprehensive clerical, administrative and secretarial support service. • Communicate and exchange complex, sensitive information across the organisation both internally and externally, using tact and persuasive skills and demonstrate excellent communication skills and the ability to handle sensitive and confidential information. • Responsible for organising meetings, preparing papers and taking minutes.

Essential

  • Advanced Keyboard Skills equivalent to RSA 2/3
  • Excellent communicator at all levels within and outside an organisation including an ability to communicate effectively with patients and members of the public

  • Excellent verbal and written communication skills
  • Identify, prioritise and work to short deadlines
  • Work without supervision to achieve the objectives of the post
  • Design and layout reports, forms and other documents to a high quality and appropriate format
  • Take accurate minutes
  • Collate and undertake a basic analysis of data
  • Prepare information for meetings and seminars
  • Communicate clearly and succinctly, both orally and written

Desirable

  • Some ability to speak, read and/or write Welsh, or an eagerness to learn.

Qualifications and Knowledge

Essential

  • NVQ 3 or equivalent qualification or relevant experience
  • Experience of using computer-based management information systems
  • Experience and an ability to prepare detailed reports
  • Experience of using computer software programmes

Desirable

  • Experience of working in an environment where both tact and diplomacy has had to be used
  • Knowledge of the structure and operation of the Health Board
