We are looking for a  skilled and highly organised Administration Manager & Personal Assistant is required to deliver comprehensive, high-level secretarial and administrative support to the Deputy Chief Nurse and Senior Leadership Team. This is a key role requiring a proactive, forward-thinking individual who can operate with autonomy, discretion, and professionalism in a fast-paced and dynamic environment. You will play a vital role in supporting senior leadership, ensuring effective coordination of activities and helping to drive organisational efficiency. Key Responsibilities

  • Deliver a comprehensive and confidential secretarial and administrative support service to the Deputy Chief Nurse and Senior Leadership Team
  • Manage complex diaries, meetings, agendas, and correspondence
  • Act as a central point of contact, managing enquiries and communications with professionalism and discretion
  • Support the coordination and delivery of leadership priorities, projects, and initiatives
  • Line manage and support administrative staff (where applicable), ensuring high standards of service delivery
  • Proactively review and improve administrative processes to enhance efficiency and performance
  • Anticipate the needs of senior leaders and respond effectively to changing priorities

Main duties of the job

Provide high-level, dedicated PA support to the Deputy Chief Nurse, acting as a trusted first point of contact for all communications. You will expertly manage a complex and ever-changing diary, coordinate meetings, and deliver seamless administrative support, including the organisation of key events such as conferences.

Work collaboratively with senior leads across the portfolio to coordinate and support a wide range of activities. This will include arranging meetings, preparing high-quality agendas and papers, capturing accurate minutes, and proactively monitoring actions to ensure timely progress and delivery. You will play a key role in supporting service development by assisting in the preparation of projects, reports, audits, and performance data.

Using departmental information, you will produce clear and insightful reports for the Deputy Chief Nurse and Senior Leadership Team, helping to inform decision-making and drive improvement. You will also develop and maintain effective systems, databases, and information resources, enabling the team to operate efficiently and deliver high-quality outcomes.

  • Understanding of confidentiality and data protection.

  • A good understanding of the health environment and the roles and responsibilities within it.

Experience

Essential

  • Able to produce correspondence, reports, emails, presentations, project plans and spreadsheets, including delegated responsibility for projects, assessments and the production of reports.
  • Experience of working in an administrative/PA role, plus experience in a senior administrative role.

Desirable

  • Experience of working in an administrative role in a health or social care setting.

Qualifications

Essential

  • Professional secretarial/admin qualification, such as BTEC/NVQ 4/RSA Word Processing.
