JOB DESCRIPTION

JOB SUMMARY

The Theatre Goods and Services Assistant has responsibility for

Ensuring that sufficient levels of all stock items, non-stock items, implants and equipment are available and properly maintained to provide an efficient and effective service.

He/she is also responsible for the management of approved loan sets/equipment and surgical instruments, ensuring that all documentation is completed and planned preventative maintenance carried out.

Performing to agreed targets regarding service levels and stock investment. He/she will assist in the teaching, training and supervision of other staff as appropriate

KEY DUTIES / RESPONSIBILITIES

Is responsible in conjunction with the Department Manager for ensuring

that sufficient levels of stock are available within the Department to meet service demands.

Is responsible for regular stocktaking and for the itemising and processing of stock and non-stock requisitions

Raises orders to facilitate variations in the stock supply chain, which includes consignment stock, constantly reviewing the supply to ensure the most cost effective and efficient methods of stock management.

Closely monitor stock holding for a selected range of commodity groups to achieve agreed service levels while maintaining target monetary investment in stock.

Authorise hard copy and electronically web based orders in line with agreed signatory levels.

Assist in the management of receipt discrepancies and investigations and emailing information to the supplier.

Arrange and participate in supplier meetings on performance and delivery requirements.

Liaise with the Finance department in resolving invoices both electronically and on manual queries.

In conjunction with the suppliers identify non-moving and slow moving stock and take appropriate action.

Liaise with Finance department in stock checking activity in line with audit requirements and Trust policy.

Maintain accurate/up-to-date records, database of all instrumentation as required and equipment services records

Ensures safe and appropriate storage of all goods and equipment.

Ensures proper rotation of all stock.

Reports any problems/issues/faults with equipment, remove from use until appropriate and report immediately to the Sister/Practitioner in charge of the unit.

Ad hoc production of management information to assist in the running of stock management.

Participate in perpetual and annual stocktaking and audits on a planned ongoing basis.

Liaises with key personnel in other hospitals and Medical companies.

Ensure prior to arranging on approved loan instrumentation that information on decontamination requirements have been obtained and agreed with the Sterile Services Manager.

In conjunction with the Department Manager establish maintenance contracts for surgical equipment as per Manufacturer’s recommendation.

Ensure instruments requiring repair /replacement are processed and properly maintained as per Trust protocols.

Produce quarterly reports for the Head of Anaesthetics, Theatres and ICU detailing costs of all instrument repairs, number and cost of loan trays etc

Maintain and update Surgeon’s preference cards.

Document and report all clinical incidents/Health and Safety incidents in accordance with Trust policy/procedure.

Assist in the control of infection by adhering to Trust/departmental polices/procedures.

Negotiates and monitors the approved borrowing and loaning of specialised equipment with other hospitals or Medical Companies.

Ensures that all on loan equipment and equipment for repair is correctly processed, cleaned and decontaminated prior to transportation.

Maintain good communication with the multidisciplinary team.

Utilise the tracking system for individual instruments and trays.

Accept additional responsibilities consistent with the level of post to enhance level of practice and development.

Contribute and keep up to date with changes within the Ward/Department by attending departmental meetings.

Keep department tidy and dispose of waste according to Trust policy.

Participate in Off Duty/Annual Leave arrangements of the Ward/Department to ensure adequate cover at all times.

Ensure a safe environment and in the absence of same communicate with the Sister/Practitioner in charge.
