We are looking for an enthusiastic, efficient Resourcing Assistant to join our busy Resourcing Temporary Staff team at Bedfordshire Hospitals.

You will be friendly with a professional attitude and have the ability to work on your own and as part of a team actively encouraging and supporting colleagues.

This role would suit a dynamic individual who thrives in a busy office environment and is a flexible team player. Duties will include providing a comprehensive administration service including the booking of both bank and agency staff, ensuring resourcing staff are up to date with mandatory training and facilitating an efficient temporary staffing service for all staff. You will also be expected to process temporary staffing bookings, deal with bank and pay enquiries, ensure accurate information is maintained on the rostering/booking systems and undertake all administration duties related to this.

Working hours will include occasional weekend working.

Main duties of the job

To contribute to the delivery of an efficient and effective resourcing service through a professional, customer-focused approach. This includes the booking of both bank and agency staff where required to fill gaps in the service. Also ensuring accurate information is maintained on the e-rostering system and other information systems.  This role also includes liaising with bank staff to ensure their statutory training modules are kept up to date and facilitating bookings where required.

To act as first point of contact for enquiries and providing advice and support to bank staff with payroll enquiries, claim forms and staff wishing to join or leave the bank.

Customer Service

Provide excellent customer service to all recruitment and resourcing service stakeholders, in an efficient and effective manner promoting the service and adhering to agreed quality standards

Act as a point of contact for first line enquiries in the recruitment and resourcing service through the contact hotline, communicating with bank staff and users throughout the Trust and external agencies as required

Provide advice and support to bank staff with payroll enquiries, dealing with sensitive information relating to staffing payroll records.

Resourcing Allocation

First point of contact for any bank pay queries liaising with Payroll where necessary.

Process paperwork for staff joining and leaving the bank.

Run regular reports of bank staff who are not actively working and process paperwork to remove them from the bank.

Using the computerised resourcing system, match bank staff, locums and agency staff to resourcing requests from clinical areas and departments, employ knowledge and skills to find the ‘best fit’ for each request.

As required provide cover for the nursing, AHP and locum booking desks.

Input data onto the relevant booking system in accordance with the agreed process.

Process locum claim forms to ensure prompt payment.

Ensure complaints are handled appropriately and if necessary referred onto senior management.

Utilise efficiently computerised systems in order to maximise the accuracy of booking data and management information.

Maintain accurate records of employee details, Professional Registration information, working preferences and availability, bank requests from clinical areas, allocated bookings using the computerised resourcing system

Monitor shift patterns in accordance with Working Time Regulations and provide reports as requested

Escalate to the relevant managers and the Resourcing Team details of permanent staff, who are also registered with the resourcing service, who do not comply with Working Time Regulations

Ensure that bank staff attend appropriate training to meet the requirements of the Trust.

Hand over to/from the Senior Nurse in charge of the hospital any unfilled resourcing requests or relevant information at the beginning and close of contact hotline hours

Administration

Run monthly reports on NMC registrations. Liaise with registered nurses to ensure registration is renewed in a timely fashion.  Liaise with Ward Managers/Matrons regarding any NMC registrations that have not been renewed.

Ensure proper filing of documentation, both paper and electronic, in established filing systems, following agreed internal processes. Ensure that these systems are continually maintained allowing timely access to all documentation

Ensure that bank staff files comply with Trust policy and standards

Administer the booking of training sessions for all bank staff ensuring attendance at training.

Liaise with all bank staff to ensure they are compliant with all statutory training modules chasing them to update their training where necessary.

Qualifications

Essential

  • • Educated to GCSE level or equivalent
  • • Keyboard skills (NVQ3/RSA3)

Skills & Abilities

  • • Good communication skills, both written and verbal
  • • Good IT skills, including Microsoft Office (Outlook, Word, Excel, PowerPoint) and ability to use other systems, as required.
  • • Ability to work individually and as part of a team, actively encouraging and supporting colleagues
  • • Ability to deal with all issues sensitively and in a confidential manner
  • • Ability to work under pressure
  • • Ability to work on own initiative

Knowledge & Experience

Essential

  • • Administrative experience in a busy, customer-focused environment

  • • Knowledge/experience of nursing and medical roles within an NHS setting

  • • Experience of using Healthroster, Bankstaff, and ESR
