The NIHR Leicester Biomedical Research Centre-Cardiovascular Theme, based at Glenfield Hospital, is looking to appoint an experienced Research Administrator to work in their state of the art facility.

We are looking for an enthusiastic, motivated and dedicated individual who is committed to delivering a high quality of administrative support.  You will need to have good communication, interpersonal and organisational skills.

You will work alongside the Principle Investigators, wider research team and existing administration team to help provide a seamless integrated administration service from study set up through to completion and archiving.

Detailed job description and main responsibilities

To work as part of the administrative team in the NIHR Biomedical Research Centre (BRC) Cardiovascular Theme, providing a seamless, integrated administrative service. This will include administrative support across a range of studies and some reception duties. Demonstrate the effective use of resources and order items appropriately. Communicate effectively with a wide range of people including patients, clinical and non-clinical staff also senior managers and consultants.

Key working relationships include:

Administrative staff within the theme and wider BRC Cardiovascular research manager

Members of the nursing team in the Cardiovascular theme of the BRC The multi-disciplinary team members of the wider BRC including governance, laboratory and IT staff

Clinical staff within UHL, particularly clinicians involved in Cardiac Research.

Main responsibilities

  • To work closely and in co-ordination with the other administrators to provide a seamless, integrated service to the theme.
  • To enter demographic and clinical data accurately onto study databases and contact management systems using spreadsheet packages and ‘in house’ open source software systems.
  • To accurately enter study information onto room booking systems and ensure the timely and accurate production of room usage reports.
  • To undertake word-processing, copy/audio typing, mail mergers and the production of letters and reports as required. A good knowledge of word, excel and outlook calendar management skills are essential.
  • Arrange meetings by taking the responsibility for booking rooms, preparation of agendas and taking and distributing minutes. This may include meetings at a senior level with a high level of confidentiality and complex study information or medical terminology.
  • Ordering supplies using the UHL ordering systems and arranging recharges as necessary.
  • To help with the co-ordination of participant appointments, ordering taxi’s, arranging car parking, expenses and diary management for the staff involved.
  • Receiving and making phone calls to patients and senior members of staff. Passing on information to study personnel as appropriate. This may include relaying complex and sensitive information regarding patients and clinical trials.
  • To maintain an efficient filing system of study notes to ensure that they are correctly filed and readily available. Experience of filing in patient notes and site files would also be an advantage.
  • To ensure client confidentiality at all times.
  • To organise study archiving and destruction of archiving in accordance with governance guidelines.
  • To support the research nurses with monitor visits by ensuring all notes and documentation is available.
  • To request, collect and return medical notes to agreed deadlines.
  • Any other general administration duties as required, including BRC reception cover.

The above duties will be subject to review from time to time by the Cardiovascular Research Manager in discussion with the post holder, to ascertain whether they continue to meet the requirements of the theme and may be changed accordingly
