Job overview

Candidates will be based at New Cross Hospital, WV10 0QP. They will need to be able to travel to other sites within the pathology network: Russells Hall Hospital DY1 2HQ, Manor Hospital WS2 9PS, Midland Metroplitan University Hospital B66 2QT, Sandwell Health Campus B71 4HJ and City Health Campus B18 7QH. The post holder will undertake audits across Black Country Pathology Services to help maintain services accreditation by UKAS to ISO15189 and compliance with MHRA and HTA. You will be helping to monitor the quality management system. The post holder will provide clerical support in connection with clinical incidents and other general office duties.  The post holder will be required to demonstrate accuracy and have excellent communication skills.

Main duties of the job

The post holder is required to assist the Quality team to monitor compliance to the Quality Management System (QMS) within the Black Country Pathology Service to ISO15189 standards required for accreditation, MHRA, HTA and other regulations/ standards. Assist and support members of the quality team and BCPS management teams to provide a seamless quality of service; this will include duties associated with risk management and maintenance of the quality management system. Major element would be undertaking quality assurance audits as required across the BCPS network, covering services are The Royal Wolverhampton NHS Trust, The Dudley Group NHS Foundation Trust, Walsall Healthcare NHS Trust and Sandwell & West Birmingham Hospitals NHS Trust. Communicate with external governance departments of BCPS Owner Trusts on behalf of BCPS to communicate information. Work within standard operating procedures and Trust policies.  Concentration and attention to detail required for auditing, data transcription, editing and extraction. The post holder will be expected to respond positively to the changing demands of the service. They will offer a helpful and professional service to all visitors and telephone callers.

Detailed job description and main responsibilities

Undertake internal audits including requirement to plan and organise workload and timescales. Provide basic support to BCPS staff undertaking internal audits. To support review of controlled documents associated with own work area. Monitor document control within the QMS and maintain associated paper and electronic databases. Produce spreadsheets and maintain templates for use in audit, providing reports as required. Input and assess data on risk management software (Datix) used by the BCPS. This includes entries for the risk register, incidents and complaints. Alert BCPS managers to problems or issues. Monitor documentation records within the QMS software system to ensure data for all aspects of the QMS is stored and maintained appropriately. The post holder may be required to revise and update QMS records. Input and view audit data within the Laboratory Information System (LIMs). Support BCPS management team with plan for closure of remedial, corrective, and preventative actions including root cause analysis. Able to use judgement when identifying solutions to issues. Support the BCPS team with the preparation of data collation for external visits i.e., UKAS, MHRA and HTA. Provide data in format of predefined reports for quality meetings across the BCPS. Provide key performance indicator/key assurance indicators data reports and support the BCPS in improving performance. Support the Quality Team in the maintenance of all modules within the QMS software system, including extracting and attaching relevant data to support the system. Check updates of external documentation to ensure current versions are maintained in Quality Management software. Attend and/or act as secretary for meetings, including taking minutes as required. Support complaints investigations through data gathering to assist the BCPS management team. Disseminate BCPS mandatory training reports escalating non-compliance to the BCPS management team. Deputise for quality team members in their absence, this may involve attendance at meetings within BCPS. To communicate with all staff within BCPS and partner sites as required to ensure that effective communications are maintained. Work within procedures and manage own area of work.
