Job overview

We are seeking a temporary (8 months) full time Private Patient Administrator (Band 2) to join our team  on a fixed term basis 16 hrs per week across 4 days.

The main purpose of the role is to provide cross cover for the hospitals private unit - Ludlow Outpatients and Ludlow Ward, with a focus on providing an excellent patient experience in all interactions; the post holder will demonstrate attention to detail and organisational skills. The post holder will also provide comprehensive administration support to ensure deadlines are achieved and flow of work is prioritised in order to meet targets and objectives.

Under current Home Office Immigration Rules, this role does not meet the UK Visas and Immigration criteria and the position is not therefore eligible for sponsorship. Applications from candidates that require skilled worker sponsorship will NOT be shortlisted.

Main duties of the job

Provide a professional and efficient reception service for Ludlow Outpatients Private Patients. To greet and reassure patients on arrival and give them clear instructions ensuring a patient centered  service is maintained at all times.

Supporting Clinical Colleagues in organising the daily running of the outpatient clinics, and maintaining patient flow through the department.

To liaise with clinical staff to ensure smooth running of clinics and to develop good working practices and relationships with the team.

To gather and share information as required for the relevant clinical area, either verbally or electronically, which is pertinent to the members of the clinical and non- clinical teams, exercising discretion and confidentiality at all times.

To pass on queries to colleagues within the team ensuring that patients are communicated with in an effective manner.

Ensure that outcomes of outpatient clinics are recorded and directed to relevant secretarial and clerical staff with full reasons for attendances/cancellations/postponements.

To set up clinics and book clinic appointments as requested by the private patient medical secretaries.

To provide administrative cross cover support across Ludlow Outpatients and Ludlow Ward- eg, bookings, ward clerk duties when needed.

To ensure a smooth and efficient administrative process for booking private patients into preoperative clinics, additional clinical appointments (e.g., joint school), and surgery.

Detailed job description and main responsibilities

The Jobholder will be expected to have good numeracy and literacy skills (e.g. English and Maths GCSE or O Level Grade C or equivalent).

They would need to have  proficient computer skills, including data entry and/or Microsoft Office experience and would need an understanding  of confidentiality and the use of discretion.

In respect of Knowledge /Experience/Skills we would like the jobholder to have the following:

Recent customer service experience

Administration experience in working in a busy office environment

Excellent Communication skills and interpersonal skills (written and oral)

Ability to work on own initiative
