Up to 22.5 Hours Per Week - Three-Month Fixed-Term Opportunity

An exciting opportunity has arisen within the People and Professionalism Directorate to support the delivery of a key pensions project.

We are seeking a Pensions Project Administrator to provide administrative support to the project team for a period of up to three months.

The opportunity is available on a flexible basis and applications are welcomed from existing Livewell Southwest colleagues who may wish to undertake the role as:

  • A secondment opportunity
  • Additional hours alongside an existing substantive role
  • A job share arrangement
  • A combination of the above where operationally feasible

Applications are welcomed from colleagues wishing to undertake all 22.5 hours per week or part of the available hours. Where suitable, consideration will be given to combining successful applicants through a job share arrangement to cover the full requirement. A secondment will also be consider providing you have full support from your current line manager, prior to submitting an application for this role.

Please note that this role may not be eligible for sponsorship under the Skilled Worker route.

Main duties of the job

About the Role

The postholder will support the delivery of the Pensions Project by:

Maintaining accurate project records and audit trails

Tracking colleague responses and follow-up actions

Monitoring deadlines and issuing reminders

Supporting project communications

Liaising with Finance and SBS Payroll Services

Handling sensitive and confidential information appropriately

About You

You will:

Have strong administrative skills

Demonstrate excellent attention to detail and accuracy

Be confident using Microsoft Office, particularly Excel

Have good communication and customer service skills

Be able to organise and prioritise your workload effectively

Job responsibilities

MAIN DUTIES/RESPONSIBILITIES

5.1 Administration

Distribute project communications to eligible colleagues, including initial letters, reminder communications, forms, pensions calculator and links to relevant resources, using approved materials.

Maintain a comprehensive and accurate log of eligible colleagues, recording communications issued, acknowledgements, responses received, opt-out decisions, outstanding responses and follow-up actions.

Monitor project deadlines and returned correspondence, issue reminders as directed and escalate gaps, discrepancies or issues promptly.

Receive, check, log and securely store project correspondence in line with agreed processes.

Maintain records showing that each eligible colleague has been issued with the relevant information, together with details of any acknowledgement, response and follow-up.

Use information systems to create and maintain accurate spreadsheets, checking information carefully and promptly identifying and escalating any discrepancies.

Liaise with the Finance and SBS Payroll Services so that confirmed decisions are actioned accurately before access to the NHS Pension Scheme is implemented.

Refer payroll or pensions queries outside the scope of the role to the penions project lead.

5.2 Pensions Project Administration and Enquiries

Provide colleagues with approved information and guidance. Escalate any enquiries requiring further clarification to the Pensions Project Lead.

The post holder will not provide individual pensions advice or make decisions outside the agreed project process.

5.3 Policies and Procedures

Comply with data protection legislation and records management policies and procedures, with particular regard to confidentiality and safeguarding issues.

Able to work within clearly defined guidance and processes, prioritising allocated work to meet agreed timescales and escalating any exceptions or issues.

5.4 Other Responsibilities

Support accessible and inclusive project communications and identify where colleagues may need information in an alternative format or additional administrative support.

To handle sensitive and confidential information according to the provisions of data security regulations, Information Governance and Data Protection.

Participate in continuous professional development.

Undertake other duties commensurate to the role and banding of the post.

6. COMMUNICATIONS AND RELATIONSHIPS

Maintain effective working relationships with eligible colleagues, managers, the project team, Payroll and Pensions, SBS Payroll Services, People and Professionalism colleagues and other relevant stakeholders.

7. PHYSICAL DEMANDS OF THE JOB

Frequent sitting & standing. Inputting at a keyboard for most of day, frequent light effort to lift, sort & file case notes.

May have to occasionally move presentation equipment and office supplies.

Frequent concentration is required when inputting into systems, typing documents, making appointments & processing records with a need to ensure accuracy.

The work is usually predictable but there may be interruptions from telephone calls, visitors and staff & occasionally imposed deadlines.

Exposure to service users who may exhibit difficult & challenging behaviours is rare/occasional.
