An opportunity has arisen for a motivated, enthusiastic Admin Lead to join our Plastic Surgery and Laser Service at Bedford Hospital.

The post holder will support work to ensure that the Ward Clerks and Outpatient Receptionists are meeting all performance requirements, including data quality and activity targets.  They will assist with close monitoring and escalation of potential risks to delivery of key performance measures. They will manage the team, and act as a support to the Outpatient Service Manager.

The post-holder will act as an integrated member of the Outpatient Management team to support the provision of an effective and efficient Centralised Outpatient and Ward Clerk Administration Service.

Main duties of the job

To ensure the smooth running of the Ward Clerks and Receptionists by managing the day to day administration and having delegated responsibility (with appropriate training and supervision) in making day to day operational decisions where necessary.

To act as an integral part of the Outpatient Management Team by contributing to and supporting day-to-day administrative tasks.

To establish and develop duties of the departmental administrative team, training them in these duties where appropriate, identifying training needs, recommending appropriate courses, and maintaining a training record for these members of staff.

To assist with some of the shortlisting, selecting and recruiting of admin and clerical staff in the department.

To carry out appraisal / individual performance review of admin and clerical staff, and ensure compliance within own team against the appraisal and statutory training policy.

  • Support the service manager in managing various sections of service including arrangement of rotas.
  • To ensure the smooth running of the service by managing the day to day administration, and having delegated responsibility (with appropriate training and supervision) in making day to day operational decisions when necessary.
  • Problem-solve all day-to-day management issues organising and reallocating work where situations change due to variations to the workload and staffing availability.
  • Ensure effective processes and procedures are in place to monitor and track performance against agreed targets within the service.
