We are exited to be recruiting Medical Records Clerk to join our team.

Main duties of the job

The Medical Records Clerks carry out a wide variety of duties including

  • retrieval of case notes from around the hospital sites and from the medical records libraries,
  • filing of case notes into multiple library locations,
  • scanning and uploading on to computerised systems as well as computerised tracking of notes;
  • the successful applicant will need basic IT skills and good communication skills.
  • The ability to work on your own initiative and to tight deadlines in a pressurised environment is essential and you must be able to lift and handle medium loads.

Detailed job description and main responsibilities

  • Receipt of requests and queries by telephone, email, fax and face to face. Often the requests and queries can be non-routine, requiring the post holder to use their own judgement.
  • Checking patient’s details and the case note location on the electronic tracking system and recording this information with the case note request.
  • Required to plan, organise and prioritise own daily workload, by using their organisational awareness and understanding of how case notes are used and travel around the hospital.
  • Handling telephone and written queries from Social Services, the public(patients and relatives), ward clerks, clinic coordinators etc.
  • Occasionally having to deal with irate or distressed people, requiring the use of empathy, tact and diplomacy.
  • Completing various forms, including patients’ insurance forms, returning by post or handing back to patient in person, following standard office guidelines.
  • Retrieval of case notes from non Medical Record areas within the Hospital, which requires the development of good working relationships and the use of negotiation skills.
