We have an opportunity for motivated admin staff to join our established School Aged Immunisation Service (SAIS).  This fixed term role will support the delivery the Flu vaccination programme in schools and community clinics in Staffordshire and Stoke on Trent from September - December 2025.  There is the opportunity to be based at one of our 3 bases either in Leek, Stafford or Tamworth.

The post holder will be part of the single point of contact for telephone calls and emails into the service from parents, carers, schools and other users of the School Age Immunisation Service.  You will be responsible for responding to high volumes of telephone calls and email enquiries professionally, quickly and effectively following policies and procedures,

This will include supporting parents/carers to complete their child's online eConsent form, booking clinic appointments via the online clinic booking system and resolving general queries escalating, where appropriate, to clinical staff.

You will also be required to support clerical and administrative pre and post vaccination tasks and be expected to work with patient records database i.e. the National Spine, Rio, CHiS, & MPFT eConsent system.

We require someone who is enthusiastic, motivated and can multitask and the ideal candidate needs to be a good communicator, well organised, able to work under pressure as part of a team as well as using initiative. A sympathetic and confident telephone manner is essential.

Main duties of the job

  • Answer telephone calls and record messages for School Age Immunisation Team and distribute accordingly.
  • Undertake administrative responsibilities, including photocopying and filing, diary/activity entry using a variety of systems, in accordance with Partnership Trust policies and procedures.
  • To work across the Partnership Trust as a member of the School Age Immunisation Team, undertaking activities which support the delivery of vaccinations to school aged children and young people
  • To undertake the production of letters, templates, consent packs etc. using Microsoft office software or similar
  • To be able to communicate with all staff groups such as Senior Managers, Child Health, GP’s and agencies as required to guarantee that the School Age Immunisation Team are able to identify the children/young people in their area who are eligible for vaccination.
  • To be able to distribute information to Schools and partner agencies including the effective use of email as appropriate
  • Maintain timely and accurate updates of relevant information systems including the regular inputting of data.

Detailed job description and main responsibilities

As a member of the School Age Immunisation Team the post holder will provide support and deliver clerical services to the School Age Immunisation Team within the community/schools/clinics Trust wide. The duties of the post are varied and call for a high degree of initiative and maintenance of confidentiality.
