We’re looking for an organised and proactive individual to join the IBD Team at Prince Philip Hospital and deliver high-quality secretarial and administrative support to our clinical staff. In this varied and rewarding role, you will support the Medical Secretary in providing a comprehensive and efficient service to the department, ensuring everything runs smoothly behind the scenes.

You’ll be responsible for managing and maintaining patient records both manually and electronically, handling sensitive information such as clinical correspondence, investigations and results with the highest level of confidentiality and professionalism. You will also play an important part in maintaining continuity of service by stepping in to provide cover during periods of absence.

Main duties of the job

Working 37.5 hours per week, the successful candidate will be required to support the delivery of a comprehensive and quality secretarial service to the Consultants and their teams and support the Medical Secretaries.

You will undertake a wide-range of duties including receipt and distribution of mail, audio transcription, and the typing of highly sensitive letters and reports, maintaining confidentiality at all times, in addition to operation of the Health Board’s patient database system.  You will be expected to demonstrate excellent organisation skills and be flexible and adaptable in your approach to work.  You must be able to work on your initiative, use tact and diplomacy where appropriate and possess excellent communication skills.

Experience of Microsoft Word, Excel, PowerPoint, and E-Mail, coupled with proven secretarial skills and previous experience of minute taking is essential.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
