An excellent opportunity for a highly organised administrator with technical abilities to support the Estates Maintenance team.

The successful candidate will coordinate administrative and technical functions, maintain building and engineering drawings using AutoCAD, manage asset registers, support compliance reporting and help deliver efficient Estates services across the Trust.

We're looking for someone with:

  • Administration and coordination experience
  • AutoCAD knowledge and experience
  • Strong IT and reporting skills
  • Excellent attention to detail
  • Ability to manage databases, records and asset information

Main duties of the job

  • To provide and coordinate a comprehensive, administrative and technical CAD support to the functions of Senior Managers and other key staff within the London Estates Maintenance Team.
  • Responsible for maintaining and updating all building, mechanical, and electrical drawings for the Trust’s London sites using appropriate software such as AutoCAD.
  • To provide multi-faceted business administration of an analytical and complex nature, administrating Estates databases and computerised maintenance management systems.
  • Produce daily, weekly and monthly performance and KPI reports for the Estates Maintenance service.
  • They will develop and manage a comprehensive asset register for all fixed maintainable assets, ensuring compliance with NHS  Estates standards and statutory requirements.

Essential

  • Able to empathise/communicate and deal with enquiries from diverse range of service users
  • Ability to organise own work, prioritising to meet deadlines and to use initiative
  • Good verbal/written skills
  • Ability to switch tasks at short notice and deal with non-routine enquiries
  • Ability to understand electronic booking systems
  • Accurate filing skills/record keeping alphabetical and numerical
  • Good time management skills

Knowledge

Essential

  • Knowledge of and proficient in wide range of office procedures.
  • Understanding of confidentiality and data protection. Knowledge of the operation of Estates Maintenance services
  • Knowledge of Operational Capital delivery of service

Desirable

  • Basic understanding of people attending Mental Health services.
  • Knowledge of trust objectives

Experience

Essential

  • Demonstrable Admin/secretarial experience in a customer care environment
  • Highly competent user of MS Office Word, Excel; Email, internet.
  • Experience dealing with public face to face and on phone.
  • Using initiative and problem solving/improving office systems and procedures
  • Experience in using AutoCAD, Shire system & Traka.
  • Maintaining requisition, ordering and invoicing processes

Desirable

  • Working in a Healthcare setting
  • Competent on CAFM or CMMS systems

Qualifications

Essential

  • NVQ 3 admin/ or RSA 3/ or equivalent level of knowledge or experience, and Literate and numerate 5 GCSE grade C or above incl. English
  • Certified AutoCAD operator

Desirable

  • Diploma in administration or business
