An opportunity has arisen for an experienced administrator within the Trust's E-Rostering and Temporary Staffing hub.

Our E-Roster and temporary staffing co-ordinators provide an essential role to the hospital processing bookings to fill temporary staffing assignments across the Trust.

The postholder will also support in the administration of the Trust's E-Rostering platform (Allocate).

Applicants must education to A-Level (or equivalent) standard, and have previous experience working in a temporary workforce environment with experience of  using the Health Roster suite systems.

Co-ordinate the booking of temporary staff utilising Allocate system.

Receive requests for temporary staffing cover, and liaise with that department to cover the shift appropriately.

Provide advice and guidance in creating ward and department staffing rosters.

Effective daily liaison with the hospital's clinical site managers .

Fulfilling reporting requirements for temporary staffing and rostering.

Detailed job description and main responsibilities

To co-ordinate the booking of temporary staffing utilising Allocate system for all specialities.

To work independently, managing own workload, making decisions based on knowledge and skills built up over time.

To take incoming calls from wards/departments requesting bank cover and to work with the wards/departments in covering shifts appropriately.

Understand the needs of all different staff groups covered by e-rostering and temporary staffing service.

To ensure that information regarding bookings is communicated to all relevant personnel in good time.  Effectively liaise with temporary bank members, ward manager, clinical nurse leads, agencies and/'or clinical site managers.

To raise issues regarding fulfilment of shifts to senior team members as required.

To provide advice and guidance to all key users supporting managers to create rosters and match requests for staff with suitable bank members wherever possible.

Advising managers on the process of requesting temporary staff and escalating any non-compliance with the process.

Liaise with clinical site managers at the start and end of each weekday, to hand over all working bookings and outstanding shifts for the current and following day, including providing an effective handover for the "out of hours" evening, weekends and bank holidays.

Assist in the monitoring of temporary staffing and to provide reports on temporary staffing usage.

Maintain communication with external temporary staffing providers.

Ensure efficient responses to shifts requests are maintained in placing workers for wards/departments.

To liaise with all Trust approved agencies to fill outstanding shifts after bank availability has been exhausted. Ensure an Agency Worker Checklist is completed and the worker is compliant and working within the agreed rates as per capping rules.

Input data into the relevant booking system in accordance with the agreed process and the priority booking system.

Monitor and update personal information of all workers within the Trust as required via the Healthroster and BankStaff systems.

Assist managers in basic e-rostering tasks such as annual leave planning, roster set up and staff moves.

To create user guides and maintain the e-roster staff intranet to ensure all relevant documentation is available and updated when required.

Provide sensitive and contentious information to support the need to implement electronic rostering.
