Divisional Administrator - 22 hour post

An administrative role supporting the Dolphin out-patient department with clinic bookings and preparation and providing administrative support to the Division, including the Governance team. The role routinely involves working autonomously and using own judgement/ knowledge to support the smooth running of the service. To play a key role in dealing with enquiries from patients and staff members from both internal and  external organisations.

Main duties of the job

The postholder will be responsible for the following tasks: -  • To support with the management of the out-patient waiting list for new and follow-up appointments,  escalating any potential issues  • To arrange appointments as appropriate following clinical triage  • To monitor and action the Dolphin out-patient mailbox as appropriate  • Regular communication with patients with regards to their appointments, ensuring appointment letters  are sent within a timely manner  • Actively manage patients who do not attend their appointment and seek further advice with regards to  rearranging appointments  • To ensure that clinics are appropriately prepared in advance and available for the clinician  • Communicate both verbally and in writing with external organisations • Provide direct support/  administrative service for the team, which can involve handling sensitive patient information, always  maintaining confidentiality  • Triage calls from parents and other professionals – recording and escalating these calls as appropriate  • Scanning of results and clinical correspondence  • To provide clerical support to the Governance & Quality Team  • To support in updating the W&C microsite for both Obstetrics & Gynaecology and Paediatrics & Neonates ensuring all information is available and up to date including patient information leaflets

If successful this vacancy will require a Standard DBS check at a cost of £26.90. This cost will be deducted from your first Trust salary
