Job overview

To be responsible for the high-quality capture of complex clinical data from medical records, research documentation and MDT minutes. Ensuring the data is submitted in a timely manner in line with contractual obligations.

To act as a point of contact for in-house, regional, and national data queries. To ensure that Trust policy regarding Data Protection is adhered to.

Main duties of the job

KEY DUTIES, ROLES AND RESPONSIBILITES

Onkos-Spinal Database:

  • Systems Administrator Duties. User management including new user profiles, password resets, deleting users, admin level data changes (name, hospital number, etc), User audits and User tracking.
  • Liaise with Onkos developer for fixes and updates. The point of call to report errors and to liaise regarding improvements to Onkos and to keep auditable records to track progress made.
  • Data input. Maintain the tumour and diagnosis screen, populate multiple fields with comprehensive and accurate data including biopsy, diagnosis, dates, tumour site, malignancy, category, surgery, stage, follow up, etc.
  • Data Quality reports. Running periodic (weekly, monthly, quarterly) check reports to assess gaps and input missing data.
  • Training. Provide basic training for new users. Provide more detailed training for clinicians running research reports.

OBJECTIVES OF THE ROLE

  • Liaising with clinical staff, reviewing patient records to proactively and independently retrieve required data
  • To utilise external patient records and Hospital information systems where necessary.
  • To access up-to-date information on patients and their treatments e.g. accessing radiology and pathology systems
  • Ensure that all data reporting requirements both internally and externally are met, including responding to routine deadlines and to ad hoc information requests
  • To work closely with the Trust IT department on these issues when needed
  • To ensure that the databases and the data collection systems comply with confidentiality, Caldicott and data protection, and all other relevant (Trust and non-Trust) policies and procedures.
  • To liaise with the suppliers of data base systems where appropriate regarding maintenance, requests for technical support and advice and database development
  • To assist in the development of other database /information systems.
  • To collect data for the COSD and research purposes.
