Position: Business Support Administrator

Salary: Step 3A £26,622 to Step 3C £28,562 plus benefits

Hours: 37.5 hours per week

Location: Greenock

To support an employee’s flexible working application, we are looking for a Business Support Administrator to join our Business Support team. You will be joining a friendly, experienced and supportive team that provides comprehensive administrative support at Ardgowan Hospice.

There is a strong focus on patient-facing administration and general business support tasks.

We are looking for someone with passion and enthusiasm to communicate effectively among staff, volunteers, external professionals, and patients/family members.

The main duties of the role are to:

  • Provide accurate administrative support for all services as required, with a strong emphasis on patient correspondence and administration
  • Ensuring appropriate information is communicated effectively and efficiently between team members and clinical staff
  • Retrieve, process, and monitor all incoming referrals
  • Ensure patients are admitted to and discharged from the appropriate clinical service accurately and timeously on our patient clinical database by following the referral, admission, discharge, and caseload processes
  • Perform general administration duties as required by the Business Support Team Lead, including typing, photocopying, filing, shredding, scanning and updating spreadsheets as required
  • Distribution of all incoming mail (email and post) scanning as appropriate
  • Maintain stationery stock control
  • Participate in the Infection Prevention & Control audit team
  • Support the Business Support Team Lead as required
  • Cover reception duties as required ○ handle incoming calls and direct as appropriate
  • welcoming and assisting patients, families, and non-patient visitors
  • processing financial and non-financial donations
  • scheduling of Reception Volunteer cover across the week
  • updating materials and documentation for volunteer receptionists
