Job overview

To provide administration and co-ordination support for the BCPS Programme Team, including supporting the Programme Manager(s) and service leads. The role requires liaison across all BCPS disciplines and external organisations to ensure that programme communications and administration are efficiently covered.  This will include a range of duties such as arranging and minuting meetings, recording and monitoring actions and providing practical support for project workstreams.

The role will support the Pathology Programme Manager in providing support for work in promoting and communicating programme progress within the wider BCPS project portfolio.

Main duties of the job

Day-to-day administrative support of the Programme Manager.

Manage a wide range of functions across the support team function; arranging venues for events/meetings; providing supporting information material as required; meeting and greeting of visitors, facilitating room layout etc.

Management of information within the programme, including maintenance of the programme documents and associated procedures, appropriate file structures, version control, indexing, access control and storage.

Produce and deliver communications reporting on the programme delivery for both internal BCPS use and to other areas across the Black Country.

Support the monitoring and reporting of the financial, timescale and quality aspects of projects and work streams

Support Programme Managers to undertake financial tracking of Purchase Orders and provide updates to the finance reports for the Programme

Tracking of milestones, dependencies, KPIs and reporting of key risks and escalation as directed via the Departmental risk log.

Support project leads in the development of their plans and act as a central point for enquiries for the Programme.

Support the change process and undertake a low level of business analysis, including drawing of flow charts.

Support and document testing of new systems.

Support the development of governance documentation for projects and the programme.
