Are you passionate about supporting education in healthcare?

We are looking for an experienced, organised and proactive administrator to join our Children's Services Education Team and assist them with a wide range of clerical duties.

The post holder will be required to assist with the coordination of schedules, training courses, designing promotional resources, managing course bookings and payments. Preparing teaching materials and supplying resources to candidates and facilitators. Recording information on IT systems, collating feedback and presenting results.

Your attention to detail, excellent communication skills and ability to multitask will be vital for the post. You will need to work closely with the educators and staff members during meetings, ensuring confidentiality is maintained and information governance policies are always adhered to.

You must be confident with computer systems and can use Microsoft Outlook programmes.

The post will be based at Heartlands Hospital, working 22.5 hours per week over 3 days Monday- Friday with no expectation to work bank holidays. This is not a working from home position.

Main duties of the job

Overview of Responsibilities:

Ensure the educators receive secretarial and administrative support by acting as a personal assistant.

Attend team and individual meetings to record notes and disseminate information accordingly.

Manage team diaries for training courses, book rooms, facilitators, arrange equipment and resources.

Advertise internal courses and manage booking processes.

Maintaining accurate records of attendance, training outcomes, evaluations

Coordinate course bookings for internal staff, managing distribution and collection of application forms

Maintain IT systems, ensuring the paediatric and neonatal database reflects current compliance.

Assistance with the production of reports to present at trust meetings

Assisting with the preparation of courses which may involve the moving and handling of equipment

Effectively communicate using multiple styles, face to face, via the telephone, on TEAMS meetings and via email.
