The Assistant Medical Devices Coordinator supports the safe, efficient and effective management of medical devices within the Sleep Physiology Service, with a particular focus on Continuous Positive Airway Pressure (CPAP) therapy equipment used by patients in both hospital and community settings.

Working under the direction of the Deputy for Sleep and Respiratory Physiology and the Sleep Physiology Manager, the postholder is responsible for supporting the tracking, maintenance, retrieval, distribution and governance of medical devices, ensuring equipment is safe, available and fit for purpose. The role plays an important part in supporting patient care through effective asset management, stock control, equipment monitoring and patient support.

The postholder will work collaboratively with Sleep Physiology staff, Clinical Engineering, suppliers, external service providers and other healthcare professionals to ensure the smooth operation of medical device processes across the service. They will contribute to maintaining accurate equipment records, supporting governance requirements and improving the utilisation of Trust assets.

The Assistant Medical Devices Coordinator will work independently within agreed protocols and procedures, recognising the limits of their competence and escalating any clinical, technical or operational concerns appropriately.

Main duties of the job

The postholder will support the management of medical devices within the Sleep Physiology Service, with a particular focus on CPAP equipment and associated accessories. Responsibilities include coordinating the tracking, allocation, retrieval, refurbishment and reissue of equipment across hospital and community settings, ensuring accurate records are maintained on asset management systems and databases.

The role involves undertaking routine equipment checks, monitoring device utilisation, supporting stock control processes and liaising with Clinical Engineering regarding servicing, maintenance and repairs. The postholder will assist in maximising the effective use of Trust assets and support the safe management of medical devices in accordance with Trust policies and governance requirements.

The postholder will provide support and information to patients regarding equipment collection, return and replacement, and will act as a point of contact for routine equipment-related enquiries. They will contribute to audits, quality improvement initiatives and investigations relating to lost, damaged or unreturned equipment.

Working collaboratively with multidisciplinary teams, suppliers and external organisations, the postholder will support the efficient delivery of the Sleep Physiology Service. They will be expected to work within established procedures, maintain competency relevant to the role and escalate clinical, technical or operational concerns appropriately.

Detailed job description and main responsibilities

• Key result areas:
• The post holder will be required to work as part of a skilled sleep team to support the provision of an effective and safe clinical service at Queen Victoria Hospital
• Provide safe, efficient storage and maintenance of medical equipment. Act as liaison with suppliers and external maintenance providers to ensure prompt attention to faulty equipment.
• Perform routine functional checks and calibration of CPAP devices.
• Conduct first-line fault finding and basic repairs to CPAP devices and associated equipment within competency.
• Participate in complex equipment testing
• Return or arrange return of equipment to Clinical Engineering where fault is outside own competencies.
• Under the supervision of the clinical specialist team lead manage medical device stock levels ordering basic replacement parts, co-ordinate trials of new equipment liaising with company representatives.
• Maintain up to date records of daily, weekly, monthly check lists and duties including training records co-ordinating with the appropriate Clinical Specialist Lead.
• Once appropriately trained support Clinical Specialist Lead with the education and training on medical devices
• Work as part of a team under minimal supervision to provide a safe, effective environment of care for patients, relatives and their carer’s. To ensure a comprehensive level of care is given, maintaining high standards and continuity of care.
• To act as a support to the Decontamination Lead ensuring continuity of the service.
• Highly developed physical skills ensuring accuracy and precision when maintaining CPAP devices and associated medical equipment, using appropriate tools and equipment.
• Effectively liaise with multidisciplinary team, patients and their carer’s in a professional and compassionate manner. To escalate any concerns about a patient’s condition to the relevant practitioner immediately
• Provide effective and supportive training and development to other HCAs and apprentices within the sleep department including assessing performance where required.
• Acting as a positive role model for their peers, supporting other HCAs as required
• Ensure patients, visitors and staff are dealt with sensitively and professionally with due regard to ethnic origin, culture, religion, disability and sexual orientation.
• Maintain professionalism at all times and respect colleagues.
• Identifying potential hazards in the workplace and dealing with them within own capability and/or reported promptly to relevant team leader.
• Moving and handling of equipment, wheelchairs and trolleys
• Carry out any other duties commensurate with the post
• Follow Trust and departmental policies and procedures
• May be required to comment on proposed changes to departmental policies, procedures
• Follows departmental procedures and aware of limitations and seeks advice from clinical specialist team lead
• Mainly guided by precedent and clearly defined operational policies and local training.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
