The Assertive Outreach West Service supports people living with severe and enduring mental illness (SMI) to engage with treatment, maintain their wellbeing, and live fulfilling lives within their communities.
The Administrative Assistant plays a key role in supporting the Assertive Outreach Service to deliver high-quality, person-centred care to individuals with severe and enduring mental health needs. The post holder will provide comprehensive administrative support to the multidisciplinary team, ensuring the smooth and efficient running of the service.
The role involves managing day-to-day administrative tasks, maintaining accurate electronic records, coordinating meetings and appointments, supporting communication with service users, carers, families, and partner agencies, and assisting with the preparation of reports, letters, and documentation. The post holder will contribute to effective service delivery by ensuring information is processed accurately, confidentially, and in a timely manner.
Working closely with clinical staff, the Team Leader, and Consultant Psychiatrist, the Administrative Assistant will support key service functions including multidisciplinary team meetings, professional meetings, caseload management processes, and routine operational activities. The role requires excellent organisational skills, attention to detail, strong communication skills, and the ability to manage competing priorities within a busy and dynamic mental health service.
Main duties of the job
Provide administrative support to the multidisciplinary team, Team Leader, and Consultant Psychiatrist. Responsibilities include coordinating and supporting Professional meetings, MDT professional meetings, and other routine administrative tasks. Provide administrative support to clients, carers, relatives, and both internal and external stakeholders. Record and distribute minutes for risk planning and risk management meetings. Answer telephone calls and respond to enquiries professionally and efficiently. Ensure the smooth day-to-day running of the office, supporting the Team Leader with a range of administrative duties. Undertake Winscribe transcription for doctors and maintain accurate clinical and administrative records.
